1 Purpose The Covid 19 pandemic has greatly affected society, whether it be related to physical health, mental wellbeing, or social isolation. What has been especially difficult in these trying times is keeping government institutions and the general populace in ready contact. Many government offices have remained closed, or are available only by only queries, thus creating a tremendous back-log for ople needing to get medical informati licenses, filing their taxes etc. Our application would help keep all government records, documents, alerts and updates in one easy to access location. Furthermore, it would serve as a means to get in contact with government institutions such as Service Ontario and Service Canada through remote video calling, by means of a queue system. Thus, Canadian citizens would be able to talk to a government employee and receive direct assistance, creating a more personal experience. 2 Background The pandemic provided an excellent opportunity to create a more streamlined approach at dealing with government institutions. With the closure of in person interaction at government facilities and in general businesses of all kinds, the need for distance communication and delivery systems became quite necessary. This gave the perfect opportunity to look at how government institutions conducted themselves be at technology could be implemented to decrease wait times, increase user satisfaction and streamline the various interactions citizens have with government institutions on a daily basis. Finally, the prospect of expanding the system to incorporate broader institutions and functions is always a possibility. 3 Problem/Opportunity Definition As the Covid 19 pandemic struck, and lockdowns were imposed many citizens lost their ability to receive assistance from Canadian government institutions in person and had to rely on clunky back channels that were and very slow to respond. Additionally, there wasn't a centralized government account that allowed access to all relevant government records. Thus, the opportunity presented itself to create an application that would easily connect citizens to qualified government workers that were specialized in looking after specific needs. A database would also be established to keep rnment accounts making them easy to view, and when needed the ability to share specific documents with government employees. The system would not be a hard one to establish however it would take dian adult population, especially with the time to see adoption rates reach near totality of the Canadian adult population less tech savvy citizens but the application would greatly streamline dealings with the government and would ease the burden of bureaucratic backlog 4 Assumption The InTouch project must be useful to the Canadian government, made ever clearer with the onset of the pandemic. Citizens must use the application so as to relieve the burden on current government employees and the backlog created by the pandemic, as well as to streamline future government interaction. Participation must be near universal; adoption rates must top 95%+ in order to maximize the project as it would greatly help the government transition from their current model to a more efficient one. The government must be diligent and patient during the adoption process as there will be unforeseen errors that will arise. 5 Constraints There are three critical constraints that managers should have more comprehensive knowledge about. These constraints are scope, time, and cost. They are frequently known as the project management triangle. Each of these constraints is linked to the other two. For example, increasing the project scope will require more money and time while speeding up the timeline since the project may cut costs and diminish the content. The time constraint describes the schedule for the completion of the project. It entails the deadlines for every phase and also the date for the final deliverance and rollout. 6 Analysis of Option and Recommendation Various options can be applied as the project progresses towards the rollout. First of all, planning can be utilized as a recommendation to address the time constraint. Planning entails defining the project's main goals, putting in place the right equipment, elaborating how the team intends to achieve its goals, and steps that can be utilized to achieve the identified purposes. Another recom ment team should establish a realistic timeframe in which each phase of the project can be completed. Also, control and monitoring ought to be utilized as recommendations to address the time constraint issue. Monitoring is a step that happens when the project is underway and needs the project team to analyze ommunicate the results of each phase as required. Our company would th the In Touch project and create an application and database to solve the aforementioned problem; leaving much room for growth and expansion to include other institutions and increase government outreach.
