The following is the narrative of the sales/collection process for PPE Supply. PPE Supply, headquartered in Knoxville, Tennessee, is an emerging industry maker of KN95 surgical masks and other personal protective gear at a fair cost to anyone who needs them. PPE Supply is new to the market, created in 2020 to address the critical shortage of medically effective, high grade face masks, gloves, and other personal protective gear; a demand created by the introduction of the COVID 19 virus to the world population. Its market share is small compared to the industry leader. The company looks to increase its market share, however, by becoming more responsive to customer and hospital/medical supply chain demands than its competitors. PPE Supply would like your help documenting its sales and collection process using an event driven ERP. PPE Supply's customers are retail companies. PPE Supply does not sell to the general public. When customers need personal protective gear, they place an order online at PPESupply.org which updates the Sales Order Transaction file. When orders are received, a sales representative prints two copies of the customer sales order and one copy of a stock release document. The sales representative staples one copy of the customer sales order to the stock release and sends it to the warehouse department. The other copy of the sales order is filed numerically in the sales department. If an item in the order is out of stock, the order and stock release will be held until all items are available to be picked in the warehouse. A warehouse clerk at the Knoxville manufacturing site receives the stock release and sales order. With these documents the clerk will pick and scan the goods for each order using a handheld scanner. This serves to update the Pick Transaction file. Only in stock items can be ordered as no backorders are allowed. After the pick, the warehouse clerk forwards the inventory items ordered and the stock release and order documents to the shipping department. A shipping clerk proceeds to update the Shipment Transaction file for each pick event and prints the packing list and three copies of the shipping notice. The packing list is included in the package. The common carrier representatives arrive every day between 4p.m. and 5:30 p.m. to pick up shipments to customers. The shipping clerk gives the common carrier representative each customer's original shipping notice, and the packaged inventory items. The stock release, a copy of the shipping notice, and the sales order are stapled together and sent to the billing department. The last copy of the shipping notice is filed numerically in the Shipping Department. The Billing Department receives the customer order, stock release, and shipping notice documents. With these documents. A billing clerk then prepares the invoice and emails it to the customer. An electronic copy is saved in the department. Once the invoice has been sent, the billing clerk sends the sales order, stock release, and shipping notice to the Accounts Receivable Department. At the end of each month, an accounts receivable clerk will email customers with balances owing. PPE Supply accepts installment payments. The cash receipts clerk receives the checks and updates the Cash Receipts Transaction file. The accounting manager electronically deposits the checks into the appropriate cash acct at the end of each business day. Note: Returns are allowed. That is, customers may return items if the goods are damaged during shipment.
