A department that needs to hire a new employee fills out two copies of a job vacancy form with the job requirements. The HR Department completes four copies of a position announcement form with additional details such as the date the position opens and detailed contact information and instructions for applicants. The HR Department advertises the position, interviews applicants, and negotiates the hire. When the position is filled the three copies of the position announcement form are pulled and updated with the new employee’s name and other relevant information. Copy 2 of the updated position announcement form is returned to the requesting department to inform them about the new employee. It is filed permanently with the other documents. Copy 3 is refiled permanently by date along with copy 2 of the job vacancy form. Copy 4 of the updated position announcement form is sent to the Payroll Department so the payroll staff can process payroll information for the new employee.
