Langsir Enterprise is a company that specializes in supplying curtains and drapes to offices and residential houses. These curtains are mostly pre-designed to capture Malaysian traditional patterns to ensure local heritage are kept. Langsir Enterprise started with only 20 employees in the year 2004 and now after fifteen years, the company has 2500 employees with 30 branches all over Malaysia. Upon appointment as the new consultant to the company, you have been assigned to review the payroll process, which are presented as follows:
Langsir Enterprise have not updated the way they capture the number of hours their employees worked on the job. The company have been contemplating to use the modern way of capturing the hours, but as of now, they continue to use punch cards to record the employees’ time on the job. The time-keeping clerk tries to monitor the process, but is often distracted by other duties. Every Friday, the shop foremen, collect the punch cards for their subordinates, review and approve them, and later deliver them to Sasha, the payroll clerk.
Sasha uses a stand-alone PC to record the employee earnings in the employee record and print a hard-copy payroll register. Once everything is in order, she sends one copy of the payroll register to Bobby, the staff in the accounting department. Afterwards, Sally will compile all punch cards and a copy of the payroll register together and file them in the payroll department in the ‘processed payroll’ file.
Bobby, who receives the payroll register, will review the document for accuracy and uses the department computer to record the transactions by posting them to general ledger accounts. He then prints the hard-copy cheques. Once completed, he signs the cheques and sends them to the foremen who distribute them to the employees. Finally, he files the payroll register in the department. At the end of every month, Bobby prepares a report for the top management for their evaluation and review.
