Ahmad Zailan & Co is an audit firm located in Cheras, Kuala Lumpur. The firmuses an online claim system to record the staff's claims every month. Staff need to enter a username and password to use the claim system. System will preview the staff's information on the screen which the information is retrieved from the human resource's database. The database is created when the staff is hired by the human resource department.Then staff need to enter claim information into the claim form in system menu. Claim information such as mileages or fares, hotel charges or lodging and meals allowance. Claim form with information will be stored in the claim database. Claim form together with hard copy supporting documents will be sent to the staff in-charge for verification. The staff in-charge will compare the information in the claim form with staff's qualification to claim based on the monthly salary and salary grade. If the information and qualification are not match, a notification will be sent to the staff for correction of the claim form. After correction has been made, a notification will be sent to the staff in-charge to inform that the correction already been made. The staff in-charge will again make a comparison for verification purpose. If information and qualification are match the form together with hard copy documents will be sent to the manager in-charge for approval. The manager in-charge will again compare the information in the form and the staff's information. If the both are not match, a notification again will be sent to the staff for correction. After correction has been made, a notification will be sent to the manager in-charge to inform that the correction has been made. If the comparison is matched, the manager in-charge will approve the claim. The claim form together with the hard copy documents will be sent to the finance department for payment purposes.
