Assessment Instruction:

This task has required a learner to pair up with another learner who completes Task 4.1. You are required to evaluate your colleague's support systems developed in Task 4.1 by using the System Evaluation template. On the other hand, your colleague will evaluate your support systems.

After you receive feedback, you will make adjustments and modifications to the support system developed in Task 4.1.

You and your teammates will be assessed on:

Practical skills relevant to the evaluation skill

Practical skill to modify and improve support systems

Submission Guidelines:

Before starting this task, you and your teammates Must review the Workplace Assessment Task 4.2 - Assessor checklist Form provided along with this workbook. Additionally, in order for you to complete (i) and (ii), you are expected to review the System Evaluation template v1.0.

Your assessor will also:

After completing this task, submit the evaluation form and the updated version of the support system submitted in Task 4.1.

System title & overview

[Example]

PD update: Compliance requirements

Staff in several departments (e.g., customer service, marketing, sale and others) are more likely to provide information regarding the products exaggeratedly as they may not have full knowledge. If this practice continues, the company may breach the legislative requirements (providing misleading information to customers).

A learner is expected to provide feedback by comparing the Support System overview and Program objective

[Example]

The justification to have this support system is not fully aligned with the Program objective. The justification is to prevent misleading information; however, the Program objective is "Recall of Major Defective Product". Major defective products are a fault from the manufacturing process and/or initial product design. Therefore, please refer to the comments' section for more information.

Relevant departments

[Example]

All departments/staff in the company

A learner is expected to provide feedback by comparing the Support Relevant departments and Program objective

[Example]

As mentioned previously, the System title & overview do fully not match with the program objective. The staff who should receive the skill development support should be those in the manufacturing process and/or initial product design. This is to avoid critical errors in products.

Required resources

Budget

[Example]

$3,000-$4,000

The budget can break down into

Handout printout cost

The cost of the video conference program

Location

Invitation of external guests.

A learner is expected to provide feedback by comparing the Required resources (Budget) and Program objective.

[Example]

Although there is a forecasted budget, more information is required. It should, for instance, provide the detailed information of:

Who will authorise the use of funds?

Who will take responsibility for each task?

When is going to be the expense review process?

What is the limitation of each personnel in fund spending?

If it is related to third parties, who and when will contact them? At what point, the compensation will be provided?

Therefore, please refer to the comments' section for more information.

Required resources

Human resources (HR)

There are three personnel in quality assurance who will organise the event according to protocols (refer to Strategies / Protocols)

A learner is expected to provide feedback by comparing the Required resources (HR) and Program objective

[Example]

Unclear of what position or who in the department will be involved. What roles and responsibilities will be for QA staff?

Required resources

Tools

Video conference program

Microsoft office application (e.g., word and excel).

Register ticket

Presentation equipment (e.g., presentation laser)

A learner is expected to provide feedback by comparing the Required resources (Tools) and Program objective

[Example]

If detailed information on these tools is provided, it will be clearer for the operators.

Strategies / Protocols

A learner is expected to provide feedback by comparing the Support System overview and Program objective

[Example]

Regardless of the objectives of the support system and program, the protocols are ok. There is detailed information on who perform what tasks.

Duration

The QA team will ensure that the employees will receive training for updated knowledge a minimum of twice per year (every 6 months).

In some circumstances, (i) the QA Compliance team can request additional sessions (more than 2 times a year).

A learner is expected to provide feedback by comparing the Duration and Program objective

[Example]

It seems to be reasonable with budgets and align with the possibility of the change in compliance requirements. The compliance requirements do not change frequently. Therefore, 2 times in a year is a suitable duration and timeframe.

Expected outcomes

Short term: employees become aware of the compliance requirements. Long term: the change of organisational culture

A learner is expected to provide feedback by comparing the Expected outcomes and Program objective

[Example]

The system in itself is good. However, it does not add value much to the program.

Additional Comments and/or Recommendation:

Filling in additional information or recommendation to improve the support system if needed.
