You are an Advertising Officer for Green Cat Advertising. The company provides marketing and advertising services to a wide range of clients, from small to large companies. You have been working with a new client, Boutique Build Australia, which was established in 2013 and is based in Sydney. It specialises in the design and building of high-quality designer homes for the Sydney metropolitan and surrounding areas. The company is in a period of expansion and is about to enter the Brisbane and Sunshine Coast area, as well at the environmentally friendly building market.

A Media Plan has already been developed that outlines the advertising campaign that will be executed.You role is to schedule the advertisements by developing a Media Schedule.

Complete the following activities

1.Participate in a meeting to discuss advertising and media requirements

The first part of the assessment task requires you to participate in a meeting with the Advertising Manager to discuss the advertising and media requirements.

Prior to the meeting, carefully review the media plan to identify the chosen media and media vehicle/s. You are also to review the company's Advertising Campaign Policy and Procedures and locate the information relevant to media scheduling.

At the meeting you will be required to describe your understanding of all the following as per the media plan and confirm that your understanding is correct:

That the completed advertisement/s are ready

Media and media vehicle/s as identified from the media plan

Timing for the release of advertisement to the public

Budget allocation for each advertising medium and for each advertising period.

Procedures for developing media scheduling as per the Advertising Campaign Policy and Procedures.

During the meeting, you are required to demonstrate effective communication skills including:

Speaking clearly and concisely

Using non-verbal communication to assist with understanding

Asking questions to identify required information

Responding to questions as required

Using active listening techniques to confirm understanding

Take notes on the feedback that you receive.

2.Negotiate costs with media vehicles

Following the meeting and in preparation for preparing and costing the media schedule you are to negotiate costs with the media suppliers as per the media plan and as identified at the meeting.

Review the Media Supplier list as referred to in the Advertising Campaign Policy and Procedures and choose the relevant supplier/s and type of media for the advertising campaign. Review their quoted prices. Given the budget allocated for this campaign (as defined in the media plan), you will need to check that prices can be accommodated within the budget and negotiate these prices with any suppliers where the budget is not met.

Prepare email to supplier/s advising of the campaign and seeking to negotiate the costs. Follow the procedure advised in the Advertising Campaign Policy and Procedure.

The text of the email should be written in an appropriate (polite, business-like) style.

Your media schedule must:

Be consistent with the requirements of the media plan with regard to duration and timing.

Clearly show how messages will be distributed throughout the life of the media campaign to meet the requirements of the media plan.

Clearly describe the number, size and timing of advertisements as per the media plan.

Indicate the costs for each media supplier and variations as per the budget allocations with regard to the advertising medium and period.

Indicate the overall costs as per budget requirements.

Indicate required changes to the schedule as per the unforeseen problem with the media supplier above.
