Appendix B Creating a Document or File Naming Protocol A File Naming Protocol is a firmwide guideline requiring all staff to name saved files in a consistent manner, thus making it easier for users to identify, locate, and sort documents. We have used the following suggested File Naming Protocol for more than a decade; it was also featured in the ABA book Paperless in One Hour for Lawyers. Before implementing a File Naming Protocol, it is important to have a ed blu directory structure and substructure in order for files to be located in the appropriate directories rather than willy-nilly or in one large directory. Thus, many firms have separate directories for client files and firm busi- ness files, with each client file divided into subdirectories. : Suggested Directory/Folder Names * COR: Correspondence, Letters, Faxes, and Email 9180 boll EXP: Expenses and Bills to 19wantA--inisimio) MED: Medical Records MEM: Memoranda, Notes, Research, Interview Records, Fee Agree- ments, HIPAA Authorizations, etc. PLD: Pleadings and Discovery (some firms use a DISC directory for discovery) * TRL: Trial and Pre-Trial-Related Documents * Placing Dates on File Names * The most effective way to determine when a document was created is to place the date on which it was created in the name/description of the document. Doing so makes searching for documents easier and eliminates the need to examine the file's properties. When naming files, dates should always be entered YEAR- MONTH-DATE (YYYY-MM-DD) (e.g., 2006-12-25) so that similarly named documents will sort alphabetically in date order.
