This situation actually occurred. None of the people in this project had any formal education about project management even though several had worked on many projects. Project Management Case Study 1 Network Upgrade Project Design and install a Microsoft computer upgrade to the latest version of the Microsoft operating system for 2200 computers throughout the state plus upgrade the software on all of the servers that are located in the state capitol area. There are nine districts. This project will require extensive travel. Resources/Cost Your company provided a response to a Request for Proposal (RFP) to complete the project within 5 months for $650,000. In your proposal response to the RFP you described how you would manage your 12 consultants to complete the project on time and on budget. Contract Award Based upon your company's extensive experience doing this type of work and because of your competitive price, your company was selected to do this work through a competitive evaluation process. Your firm was selected over 20 other firms. Client Meeting Before the contract signing, you are sitting in the Client's meeting room in another state along with 10 of the client staff. You are planning to organize a kick-off meeting to start work on the project, when the client sponsor, who is the Agency Director of the Computer Center, states that he plans to provide half of the workers on the project so that his staff can receive some needed training. He also states that he plans to rotate workers in and out of this project so that his 10 people can learn enough to maintain the system once your company has finished the upgrade. Additionally, he tells you that he has lowered the amount of the contract from $650,000 to $350,000, since he will supply about half of the people. He expects you to finish the project within the time specified in your response to his Request for Proposal (RFP). You also learn that the State Technology office personnel, who have high level authority to approve or disapprove the funds for the contract have approved the expenditure of $350,000, not the $650,000 you bid for the work.
