The trucks and trailers may be paired together in different ways depending on the customer's requirements. Each truck owned by the business is identified by its vehicle identification number (VIN).

The truck's vehicle registration number, make (e.g., Toyota), model (e.g., 700 Series), kilometres travelled, and the kilometre reading of the last service are recorded. A truck's type, which is determined by the truck make and model, is assigned a class. A given truck class will potentially cover many different truck types.

The truck class is used to determine the driver hire rate and the daily hire rate for the truck.

For example, currently, a Class 3 truck has a driver hire rate of $150/day and a daily hire rate of $300/day, whereas a Class 1 truck has a driver hire rate of $100 per day and a daily hire rate of $200/day. Each trailer is identified by a five-character code e.g., REF08. The trailer manufacturer (e.g., Toyota) and model (e.g. Iceliner12) are also recorded. A trailer's type, which is determined by the manufacturer and model, is assigned a trailer class.

For example, a toyota wish is a class R12 trailer . A given trailer class will potentially cover many different trailer types.

Each trailer class is assigned a daily hire rate.

For both trucks and trailers, The company record the date the business purchased the equipment and the dollar cost of purchase. Trucks and trailers are purchased as separate items. The company has several employees with roles of manager, clerk, mechanic, or driver - each employee has only one role. Employees are identified by an employee number. Each employee who is not a manager is assigned to one of the company managers, all managers report to the business owner as their manager. Details are kept of the employee's name (family and given), contact number, Tax File Number, and salary. If the employee is a driver their licence number and the highest class of truck that they can drive are also recorded.

For example, if a driver can drive class 1, 2 and 3 trucks their highest class of 3 is recorded.

One of the main responsibilities of a clerk is to manage the booking of the vehicles.

When a customer calls up to get a quote, the clerk will first ask for the unique customer number. If this is the first time the customer is making a booking with the company, the clerk will ask for the customer's details for registration purposes. These details include customer name (family and given), business name (if applicable), customer address and contact number. When getting a quote, the customer will indicate the preferred booking start date, the pickup location, the drop off location, and the purpose that the truck will be used for.

Based on their knowledge of the truck and trailer classes, the clerk will select a combination of truck class and trailer class which is suitable for the specified purpose.

They will the use this information to work out a costing for the quote using:

(driver hire rate/day + truck class hire rate/day + trailer class hire rate/day) * days

Note that at the quote stage no truck or trailer is assigned. The clerk records the date on which the quote was prepared, and the cost quoted for the job. The customer may decide to accept the hire quote immediately or may call back later with a decision.

If the customer calls back later, they will need to provide the quote number previously given by the clerk.

Only when the customer has agreed on the quote costing, will the clerk assign the quote to a job.

If the customer does not call back with a decision, it is regarded as an unfulfilled quote. Each job is assigned a unique job number. When the quote is assigned to a job,

the clerk will negotiate the actual pickup date/time and an intended drop off date/time with the customer based on the availability of a suitable truck and trailer. The selected truck and trailer will be assigned to the job. A driver with a licence class higher or equivalent to the class required by the truck assigned for the job is then scheduled to drive. For each job, a record is kept if the customer has paid for the job.
