You are the venue manager for The November Theatre, an entertainment venue that has recently been acquired byEllie Hall, who wants to transform it into the most popular venue in town.

Ellie'svision is to rebrand The November Theatre as TNT, a hip new venue equipped with the latest technology to host some of the state's best artists.Shehas asked you to project manage the renovationsrequired andplan an opening night event for threemonths time.She will assume the role of Project Sponsor.

Below is the information you will need for the projects. Ensure you progress through the assessmentin the order it is presented, as each section will provide additional information required to complete the activity.

Task1: Developing Project Schedule

Project One: TNT Renovations

The November Theatre is a heritage listed venue that was originally built in 1920. You must ensure all renovations meet heritage-listed venue guidelines, meaning all building approvals must go through Town Planning approvals. Barry White is your contact at the council office and has agreed to help you.

You conduct a quick tour of the venue and make the following notes in your notebook:

  • New stage to be built (old one must be dismantled)
  • Order new sound equipment and make sure it is installed
  • New seating needed (leather or fabric...askEllie).
  • Get plans to Barry asap!

You also note:

  • Opening night is in 3 months (12 weeks) and the renovations must be complete byweek 11 to allow sound checks for opening night
  • It will be much quicker and easier to install the new stage after the old seating has been removed (and before the new seating is installed)
  • Barry tells you that it takes approximately 2 weeks for building approvals(usually takes 6 weeks but he will assist to reduce this to 2)
  • You will contract out the supply and building works
  • You have a budget of $100,000

Project Two: Opening Night

You hold a meeting with your team(Mohsin and Amira) to develop a plan for Opening Night.You have a budget of $10,000.You all agree that:

  • Mohsin will arrange all advertisingand engagementfor the event
  • Mohsin will make flyers for a letterbox drop,and alsopromote the event on social media
  • Mohsin's sister runs the local radio station and has agreed to give him afive minuteinterview live on-air theweek before the event
  • Amira will arrange cateringand the performing artist
  • Catering order must be inat least six weeks before the event as Ellie would like some rare ingredients to be involved in the menu
  • Elliemust approve the artist before booking, and the artist will need a sound check the week before the event
  • You will coordinate thesetup, hosting and packing up the event

Task Two

Project One: TNT Renovations

Assume you are halfway (50%or week 6) through your expected project scheduleand youhavenotedthe following:

  • The stage has not been removed. You call thecontractorand they tell you they need another weekto complete the task.
  • The seatingdidn't arrive. You call thesupplierand they inform you thatthere is a shortage of preferred fabric and it will now cost an additional25%to buy the current stock. Alternatively,there will be athree weekdelayuntil the cheaper stock arrives.It will take a week to install the seating when it arrives.
  • The Friends of November Theatre volunteer group have donated a new sound system, and Ellie asks you to return the system purchased for this projectand seek a refund.

Project Two: Opening Night

Assume you are halfway (50%) through your expected project schedule and you have noted the following:

  • Amira receives an email error messageher catering order never made it to the supplier!
  • The caterer informs you that they can process the order, but it will cost 25% more due to having to import special ingredients internationally in time for the event.Alternatively, you can have a simple menu for the same cost (but without the imported ingredients).
  • When you booked the artist for the event, they requested a massage chair be made available during sound check. The artist will now not arrive until the day of the event and will not conduct a sound check. Ellie has asked you to cancel the soundcheck, andreturn the massage chair.
