An orthodontic practice that I worked for in the past needs help on having a better system to track and order supplies. They are an orthodontic practice that is located in Raleigh, NC with two office locations in the Raleigh area. They offer the highest standard of orthodontic care to patients. They strive to work together to establish happiness, self-esteem, comfort, and optimal oral health for all their patients while creating beautiful smiles. However, this company currently spends out a lot of money on supplies that gets unused or wasted due to not having a properly controlled inventory system. A lot of supplies ordered goes unused and expires and then as a result the product is thrown out causing the company to lose money. I want to help create a system for their company they can use that will help them profit the business and no longer waste or throw money away with product that is not being used. The system I create will be called InvyScanner.

Our textbook states “Most new information system applications require a project with several iterations. In the first iteration, there are usually three major objectives. The first objective is to get project approval. The second objective is to get a clear picture of the system’s overall vision—the overall functions and data requirements. The third objective is to determine the detail specifications and develop a solution for one portion of the system (i.e., actually analyze, design, build, and test one part of the system). The second and third iterations would continue to work on the additional portions of the system based on the system vision,”( Systems Analysis and Design in a Changing World, Pg.12).The WBS that I created will hopefully help to improve the current ordering system which will help track the current supplies that are on hand, what needs to be reordered, keep track of the current cost of what is being spent out and hopefully help reduce the amount of product needed at the current time to reduce overspending and wasting product. The InvyScanner system will be backed up to the cloud so it will be easily accessed at each location. It will be a scanning system where a handheld scanner will be used to scan barcodes of the product that will list the current amount of product on hand and the current cost of the product with the last time it was purchased to give an idea of how much more supplies will be needed to order to last for a month at a time. After scanning all the products needed to be ordered the scanner will be connected to a computer where the information of the products will then be loaded into the ordering software and give you a list of what needs to be ordered and the amount of money that will be spent out.

Cost & Estimation:

The InvyScanner after being purchased and installed and payout to all employees or workers involved will be at a cost of $82,800. There will be a project manager paid at $40 an hour, 4 software developers paid at $30 an hour, and an Administrator paid at $50 an hour. For the Purchase of the software itself and any upgrades needed to the current systems will be $15,000. The project will take at most eight weeks to deploy give or take depending upon if we run into any issues. The amount could actually increase or decrease depending on the time and efforts placed into the project. Surely best efforts will be made to get the project up and running on time to help save time and money.

  1. Determine the business requirements of the system
    1. Define the system requirements of the company and the deliverables this project will facilitate.
      1. What are the functional business requirements?
      2. What are the nonfunctional business requirements?
    2. Requirements ought to be feasible within the parameters of the complete Capstone Project.
  2. Facilitate Agile Time Management
    1. Develop a Work Breakdown Structure (WBS) in Microsoft Project.
    2. Proper time estimations are necessary.
    3. Develop a minimum of 15 scheduled items that manage the deliverables of each project phase.
  3. Be sure to include resources, owners, time estimations, etc.
  4. Facilitate Agile Cost Management
    1. Use the same Microsoft Project document.
    2. Provide appropriate cost estimations for the completion of each project deliverable.
      1. Estimate the labor costs and hours to complete each task within your Microsoft Project WBS.
      2. Estimate the basic equipment and systems solution costs for the implementation of your Capstone Project.
    3. Financial analysis should include calculations like NPV or similar methodology.
