Role Responsibility Tasks

Receptionist:

  • Follow company policy & Procedures
  • Maintain security measures
  • Operate the telecommunications system
  • Communicate effectively with all stakeholders
  • Maintain quality customer service
  • Maintain professional and happy persona

  • Answer and direct incoming calls
  • Welcome visitors, sign them in and out/ issuing visitor badges
  • Notify personnel of visitor arrival
  • Keep the reception areas clean and tidy
  • Replenish water in water cooler as needed
  • Replenish tea/ coffee/ milk in the staff rooms as needed
  • Ensure all equipment and lights are turned on in reception area in the morning and switched off in the evening

Finance Office:

  • Follow company policy & Procedures
  • Maintain security measures
  • Maintain records and receipts
  • Provide quality customer service to clients and suppliers
  • Resolve financial disputes
  • Support the CFO
  • Reconcile and replenish petty cash daily
  • Ensure all equipment and lights are turned on in the finance department area in the morning and switched off in the evening
  • Prepare payroll for CFO authorisation weekly
  • Follow up aged debtors
  • Pay invoices are directed by the CFO
  • Develop financial reports/ charts as directed by the CFO
  • Assist in preparation of the budget
  • Reconcile weekly transactions
  • Prepare Business activity statements
  • Prepare balance sheet

Administration Officer:

  • Follow company policy & Procedures
  • Maintain security measures
  • Maintain records and database
  • Manage administration enquiries and office calendar
  • Good organisational and problem-solving skills
  • Support the CEO
  • Ensure all equipment and lights are turned on in the administration department area in the morning and switched off in the evening
  • Organise filing system
  • Manage office supplies and place orders as needed
  • Manage board room bookings

In addition to the above tasks, National Camper Trailers current framework requires all staff to develop effective relationships with all staff members and build networks with suppliers and stakeholders.

In consultation with the three (3) staff members (above), you discussed their work goals, plans and proposed activities, the following was ascertained:

  • Receptionist requested the opportunity to undertake a Diploma of Project Management, in the hope to one day, she will be able to move into a management position within the company. This course will take approx. 500 hours to complete over a two (2) year period. She also expressed interest in undertaking yoga classes to reduce stress at the end of the day.
  • Financial Office's goal, is to further develop skills in debit collection to assist in lowering the aged debtors as part of their role responsibility. An online training course in debit collection was identified, which is approx. 2 hrs in duration and costs $95.00 + GST. He also expressed interest in a long-term (5+ years) personal goal to obtain a Diploma of Accounting.
  • Administration Officer has a personal goal to develop a cultural awareness program at NCT, and facilitate a social events calendar which encourage understanding and acceptance of other culture with an aim to get all cultures mixing effectively together and build effective relationships across departments. The Administration Office is very passionate about effective cultural diversity after experiencing first-hand the difficulties her parents endured as new Australians. She also expressed interest in developing her organisational skills.
