CMGT/410 Memo to ProjectManager Peter Goodwin Terry Carlson University of Phoenix June 13, 2016 CMGT/410 Peter Goodwin- Memo Memo To: Project Manager From: Peter Goodwin Subject: Enablement of employees for the implementation of compliance system Date: June 13th, 2016 Project Description This aim of this project is to enable the managers of all our branch offices on the technological changes for the implementation of the new compliance system. The project includes the procedure for enabling our managers for effectively implementing the compliance policies. This memo will lay out the required actions that need to be carried out in order to bring in the new changes. Recommended Action Our organizations needs to provide training to all the managers from our branch offices across the country as the platform that we are going to use is new to everyone. The training needs to be provided on both the platform as well as the new compliance policies that are being introduced. As discussed with everyone, required personals need to be present at our headquarters for this training. It has been found that in-person training is more effective for the learning process. Face to face session with the instructor will help in clearing the doubts in an effective manner. The training session is of ten hours which will be carried over a period of two days. The participants need to take out time from their busy schedule and be present in person at our headquarters. This training session is of utmost importance as the technological platform and the policies are alien for the entire organization. Apart from the training session, some feedback sessions will be carried out to take view of the participants, so that we can use this learning in future for our advantage. As I have been informed that our organization has not carried out such a centralized learning before, I have created some guidelines under this project which will help in evaluation of this kind of an exercise. Input from the participants is a must from the perspective that we want to make optimum use of this activity. Stakeholders Involved The stakeholders that are involved in this training session are our managers from all the branch offices, business executives, senior management, instructors and our support team for this project. I want to extend an invitation to all the stakeholders mentioned in order to make the training session effective. The presence of all the stakeholders under one roof will ensure the clarification of any doubts and conflicts that may arise in future. Procedure of Action All the stakeholders need to present at the convention centre of our company headquarters next month, I request them to plan their travel accordingly. Instructors are coming from the vendor company to train our employees. Training will continue for two days. A doubt clearing session is also included in the training program. Interactive feedback session is planned at the end of second day with proper documentation of the inputs provided by the participants. Daily progress report needs to be sent by the managers at the end of the day once they return to branch offices and start implementing the system. Audio/Video Conference calls are proposed of all stakeholders in case any issue needs to discussed in detail on the implementation part of the compliance system. This system will continue for the first three weeks. Weekly submission of reports is a must along with week 3 assignment. I will make changes to the documents with the feedback provided by the instructor, if any. Properly documented report and detail wills be sent to the senior management for assessing the operational and financial aspects. Objective & Outcome of the Project The sole objective of the project is to impart the technological know-how to all the stakeholders and ensure smooth functioning of the proposed compliance system. This project will generate data on the use of new system in our organization which will be critical from the managerial perspective. Success will be evaluated by the positive reports from the employees and their enthusiasm in the implementation of this system. Apart from the managerial report from the branch offices, a separate feedback from will be collected from all the other employees working under this system. The data will be analysed by the instructors that will give us a clear picture of the success of this system. Enabling the employees in a set of technology and procedures will certainly help the organization in the long run. Steps need to ascertain the Measurable Organizational Value (MOV) of this Project Analytical test based on the platform and policies which will provide an insight of the learning obtained from the training program.
