I hope this message finds you doing well. I propose two improvements to help First Access meet its legal and ethical requirements.

Improvement of Storeroom Safety: During my recent visit, I noticed several safety hazards, including improperly stacked boxes and a Stanley knife left unattended with the blade exposed. These conditions pose a risk to staff safety and potentially breach our Workplace Health and Safety Policy. In this regard, I recommend conducting regular safety audits of the storeroom and providing staff with training on safe storage and equipment handling. This will enable us to meet our legal obligations under the Occupational Health and Safety Act 2004 and/or Occupational Health and Safety Regulations 2017 and promote a safer working environment.

Respect for Client Individuality and Confidentiality: I overheard a colleague discussing client information in a public area, which breaches our Client Confidentiality Policy and, potentially, the Privacy Act 1998. This conversation also suggested a lack of respect for individual client needs and preferences. To address this issue, I propose reinforcing the importance of client confidentiality through regular training and reminders. Additionally, I would like to propose emphasising the significance of individualised care planning under our Ethical Conduct Policy. This will help us meet our ethical obligations to respect client autonomy and privacy.

To ensure the effectiveness of these improvements, I recommend that we review and update our Workplace Health and Safety Policy and Client Confidentiality Policy. We should also consider developing a policy on individualised care planning to guide staff in meeting client needs.

These improvements will enable us to meet our legal and ethical requirements better and foster a more respectful and secure working environment. I look forward to discussing these proposals with you.

For this part of the task, you will complete a role play.

You will play the part of Estelle and meet with Diya Headley and Jukka Sepp to discuss your email and workplace improvement suggestions from Part A.

You will need to talk about the following in your meeting:

  • Why you think each work practice can be improved and how this will assist in meeting legal and/or ethical requirements. Refer to the relevant First Access documentation to support you.
  • How you can contribute to the development and review of policies and procedures.

You must also ask Diya and Jukka for feedback on your suggestions. Ask them:

  • If they think your suggestions are reasonable.
  • If they can suggest any improvements to your suggestions.

Provide the Role Play Instructions to the person playing Diya and Jukka. These roles can be played by another learner in your class, family member, friend. You can record this session with free software such as Webex. Your role play should be no greater than 10 minutes.

After the role play, you will be required to answer some questions.

During the role play, your assessor will be looking to see that you can:

  • communicate the two potential work practice improvements with a colleague and supervisor
  • refer to policy and procedure to support meeting legal and/or ethical requirements
  • seek to contribute to the review of policies and protocols.

I think it is important that we are all regularly reminded of our Code of Conduct, our mission and our values. We need all staff to be reflecting our values at all times.

Role 2: Jukka Sepp

Jukka is a supportive colleague and will be hearing Estelle's proposed work practice improvements for the first time.

I have experienced some mishaps in the storeroom. I'm glad you have brought it up and believe it is a really good idea to get make some changes before an accident happens.

My neighbour, Sandra, who works here part-time - you might know her - was telling me the other day about how she loves our values and how supportive our workplace is. (The student being assessed does not know that Sandra is your neighbour until now.)

It is a real shame that you have heard someone obviously not reflecting our values. I think we have a job where we may need to vent or talk things out occasionally, but there is a way of doing that.

Hopefully, this is an isolated incident as most of us are careful about what we say and where we say it.

I think having a staff member as part of the review of policies is important.
