Ensure your assignment provides the name of the organization and its main purpose. This will be the introduction to your assignment. Both the job analysis and the job descriptions and specification must be completed based on an actual organization.
Step 1: Job Analysis
1. Each interview should take 30 minutes to an hour. The interview(s) can be conducted virtually or by phone call.
2. During this time, you are to ask the incumbent (or yourself if you are analyzing your own job) a series of questions formatted to gather specific requirements for the job you are analyzing.
3. The questions and responses as well as any other notes are to be included in the appendices of your assignment.
4. The answers to the questions and any other notes will be used to create the job description and specification (Step 2 and 3 below).
Step 2. Job Description
1. Once you have completed your job analysis, prepare a job description including the job title and description of the job content.
2. The description of the job content is to be obtained by identifying the most significant tasks the incumbent would be responsible for.
3. You are to create a new job description for the position. Under no circumstance should you use any job descriptions from your chosen employer.
4. The job description should be structured in a way that captures the position title, key responsibilities, reporting relationships (who reports to whom?), working conditions (outside work, shift work, travel).
5. The description should be professional in appearance.
6. Consider any legislative requirements and implications. Your job description is part of your appendices.
Step 3. Job Specification
1. Prepare employee specifications for the job.
2. This is a separate document from your job description and included in your appendices.
3. This should include KSAOs required to perform the job at an acceptable level. Use the headings below to format your specification.
a. Knowledge
b. Education and Experience
c. Skills
d. Abilities
e. Other characteristics, competencies and qualifications (motivation, licenses, etc.)
Step 4. Write your report
Once you have completed your job analysis, job description and job specification, write your job analysis report. Your report should be between 2 and 3 pages in length (not including the cover page, table of contents and reference page or the items in the appendices). This is not your job analysis notes, job analysis interview questions, job description and specification. This is a discussion and description of your job analysis process. Ensure you support your discussion with course material and additional research.
