The business is a fast-paced manufacturing environment with high employee turnover. The organizational headcount has grown from 75 to 100 employees in the past year and a further increase of 150 employees has been budgeted over the next two years. The human resources recruitment team is currently staffed by 2 individuals using traditional mechanisms for sourcing and tracking candidates. All applications are currently being completed by applicants on paper and handed into the recruitment office. The tracking of the recruitment process is all being done with basic software such as Microsoft Word and Excel. The existing resources and processes have become insufficient for dealing with the large volume of applicants and candidates required by the business. In addition, current employees do not have an online portal for dealing with matters such as viewing their vacation and benefit allotment, requesting tuition aid, or applying for internal opportunities.

BUSINESS PROBLEM

The current software being used (Excel and Word) are not capable of handling the dynamic and large quantity of data created from the ever-growing recruitment operation and number of employees. Paper applications and employee documents are being stored in a large filing cabinet on-site. Mistakes are being made in keeping track of applications and candidates, employee data is not being captured accurately in a single source, and the process of managing and filing this data has become time-consuming. In addition, hiring managers from the various business lines do not have easy access to their current applicant pipeline, and where candidates are in the hiring process. Recruiters and hiring managers are wasting valuable time keeping track of recruitment data. In addition, good quality candidates are being lost due to the old-fashioned process of having to hand in paper applications, applicants being inadvertently missed, and/or the lengthy time for getting recruited and onboarded. Beyond the recruitment process, there has been ongoing complaints from employees and management at all levels that an online method of viewing and applying for internal opportunities is needed. Many individuals have been dissuaded from seeking internal opportunities because of the lack of visibility on internal openings and perceived inefficiency with the process. Employees have also expressed ongoing concerns about not having a way to view their vacation and benefits allotments or apply for tuition aid. These things currently have to be done by employees emailing their managers and requesting it.
