Scenario 1 -Planning and organising workflows and contingencies
You are the Team Leader for the Food and Beverage Service team in the newly constructed Righteous Room at The Righteous Inn, which is due to hold its Grand Opening to the public on the last Saturday of next month. The Room is expected to be the flagship dining facility of the property.
Management has put you in charge of the Grand Opening of the room and while they have provided you with a generous budget, they have also insisted the food, drinks and service must be top-class.
The Righteous Room is a five-star fine-dining, silver service restaurant that management has designed to cater for VIP customers and those seeking an exclusive and memorable dining experience featuring tableside cooking and the finest of wines from across Australia and around the world.
The Righteous Room will boast outstanding views of the ocean and feature a pianist playing suitable mood music at all sittings.
The room seats 80 customers and has its own kitchen and bar, and when it is running will serve la carte lunch and dinner 7-days-a-week (Lunch: Noon - 2:30 PM and Dinner: 7:00 PM - 10:30 PM).
Management has asked you to prepare and submit workflow for the Grand Opening and suggested you factor in six of the following contingencies:
- Action staff will take when:
- responding to a customer complaint about the food or the service
- referring a complaint to you
- Action you will take if it becomes apparent you need more money to conduct the Grand Opening.
- Action you will take to ensure suitable staff for the Grand Opening in terms of:
- staffing levels for the bar, food waiters and beverage servers
- silver service and gueridon skill profiles for food waiters.
- Action you will take to ensure efficient and cost-effective rostering of bar and food service staff for the Grand Opening.
- Action you will take in the event a staff member underperforms during the Grand Opening.
- Action you will take to ensure standard operating procedures are in place for:
- taking customer food orders at the table
- notifying the kitchen that a customer has placed an order that involves a dietary-related need or allergy.

The Grand Opening of The Righteous Room took place recently and was a great success and management has congratulated you on your achievement.
In keeping with organisational requirements, you now need to complete some internal records and forward them to the relevant departments.
As you look back on the night you find:
- 78 people attended
- Total sales were $10,174.75 paid as follows:
- Cash: $583.50
- Credit cards: $3745.20
- Charges to room: $1800.50
- Digital: $1755.00
- Complimentary: $1,125.75
- EFTPOS: $1,164.80
- Food sales were $7,440.25 compared to your projection of $8,000.00:
- 73 soups sold
- 65 people had entres
- 78 people had main courses
- 56 people had desserts/cheese platter
- Beverage sales were $2,734.50 compared to your projection of $4,00.00:
- Cocktails $247.00
- Wine $1,845.00
- Beer $372.50
- Other $270.00
- Entertainment costs:
- Pianist: $350.00
- Harpist: $350.00
- Labour costs were $3,930 which aligned with the draft roster you used for the event:
- Bar staff: 2 staff for 10 hours each at $28.50 per hour
- Food waiters: 7 staff for 10 hours at $31.00 per hour
- Beverage waiters: 4 staff for 10 hours at $29.75 per hour.
You were disappointed with the revenue generated, and know you need to address this as part of your Performance Report.
You also recall there is a need to address the following:
- Completion of a Staff Information Form for one of the bar staff.
- A Staff Evaluation Record on one of the food waiters whose silver service skills were below standard when serving bread rolls, filleting, and serving fish, and serving soup from a tureen at table.
- A Staff Member Performance Development Plan for the same food waiter that was negotiated with them yesterday to address their identified needs.
