Bim Porton's is a large national chain that sells coffee, baked goods, and sandwiches. The Information Technology group has decided that a new supply chain management (SCM) system would be desirable given the many new SCM systems that have recently come on the market that make use of new technologies.
The IT group has two meetings with store managers and the bakery goods production division to get a sense of their functional needs, as well as assessing their own internal expertise with the technologies being used in the new systems. The IT group then carefully assessed the other systems that need to be integrated with any new SCM system to understand what data flows would need to occur and how the systems would have to be integrated. Analysis was also done to determine how many users would need to use the system at the same time, the volume of orders that would need to be managed, and the security needs of any new system.
The IT group then prepared an RFI to send to vendors and received responses from five companies about their SCM systems. Based on a review of the RFI responses, the IT group selected a well known SCM Information System provider based solely on their reputation, technology, and reputation in the industry.
A contract with the vendor was signed that specified key dates for various events, including installation, configuration, system testing, and training, and how these events would be measured, as well as consequences for not meeting the specified dates. All of these events occurred as planned, with the IT group signing off once they had determined the system was working to the IT staff's satisfaction.
To convert to the new system, the systems group decided to use a staged approach, where stores in one region were transferred to the new system to ensure it was working as intended, and then once this appeared to be the case, converting each of the four other regions one at time, addressing any problems that arose before adding an additional region.
Once the system was up and running in all regions, the IT group moved on to assessing the need for new information systems for other business needs.
