For this week, you will do a communications plan for your selected project.The first step in developing your communication plan is figuring out what kind of communication your stakeholders need from the project so they can make good decisions. This information can be drawn from the stakeholder register and also by interviewing each stakeholder. Methods of communication can take on many forms, such as written reports, conversations, email, formal status reports, meetings, and online resources; hence, there is no such thing as a "one size fits all" approach especially when there may be time zone differences.

All projects require a sound communication plan, but not all projects will have the same types of communication nor the same methods for distributing project information. The types of information that are typically communicated include project status, project scope statements and updates, project baseline information, risks, issues, action items, performance measures, project acceptance, and RAG rating.

Part II: Project Details

Executive Summary The objective of this project is to create a separate area where the employees' children can be looked after. The goals are to enable workers to have trusted personnel and a secure area for their children. Also, to allow workers to have their children near them, which in turn will help the company control absenteeism and lateness better. This project will help with productivity as workers will feel more at peace knowing that they have reliable childcare and that their children are close by.
Problem Statement The problem that we have now is that many employees have difficulty finding reliable or affordable childcare. This in turn causes them to use more time off, be late for work, or leave early. This problem needs to be resolved to have better morale and productivity in the company.
Business Rationale

The high-level benefits of having an on-site childcare program are:

  1. Increase flexibility.
  2. Better productivity.
  3. Increase loyalty and commitment from employees.
  4. A better balance of work and parenting for the employees.
  5. Will help new parents to transition back to work easier.

Project Life Cycle & Development Approach

This project will begin with the design and remodeling of the office spaces to become a childcare center. This will involve construction workers. Once the center is created, the equipment and furnishings will need to be installed. Personnel will need to be trained. Meetings will need to be conducted to see the progress made, situations that may not be working, and implementation of changes.

Scope Inclusions Exclusions
The on-site childcare program will be situated in the offices towards the right of the entrance in the company's building. This childcare program will benefit employees of the company only. The program will cut into unnecessary time used by the employees thus, saving the company money. Employees will have the opportunity to apply to be considered to fill the childcare positions. All areas of the company that do not have a direct impact on the project will be excluded such as the production department, the service department, and the quality control department. Also, all data programs needed to run the production and service departments.

  1. The cost of the project can vary if problems arise in redesigning the office space to accommodate the childcare.
  2. The time that is allocated for the implementation, execution, and completion of the project. The schedule proposed may need to be adjusted for the project to be completed in a timely manner.
  3. The scope of the project could have limitations in enforcing tasks, smaller more concentrated groups or areas may need to be designed.
Project Dependencies The project is reliant upon government agencies which will be providing permits and licenses. Also, it is reliant upon the independent contractors hired to complete remodeling office space into the childcare site and to provide training to the employees that will be working in the childcare.
Assumptions

  1. Project needs approval of redesign of office space to create childcare site. If the redesign is not approved, the project will be delayed, and the goal date will be missed.
  2. Budget needs to be reviewed by upper management for approval. If the budget is approved at a lower rate, cuts will need to be made to the project which can be bad for the desired outcome.
  3. Licenses and permits need to be acquired within a week of project approval. If they are not acquired before the specified time, work can't begin, and the project would be placed on hold.
  4. Technology needs to be purchased as soon as the project is approved. If not, the IT department won't be able to familiarized themselves with the programs and software to be able to train the personnel that will be using it.
