Jina(Food and Beverage Manager) : Hello everyone. Thank you for coming this meeting.
Mia (compliance consultants) : Thank you for having me here.
Nadia (Regulatory advisor) : Thanks, Jina.
Jina : Today, I would like to talk about our new coffee shop's policy and procedure. I haven't
made draft of it yet, however, I sent some information that I researched by your emails. Have
you check you emails?
Mia : Yes, I did. You did a good job though.
Jina : Yes, I check emails and all information are useful.
Jina : Thank you. I would like to make and share new policy and procedure based on my
research. Regarding share new policy and procedure, how can I check whether all staff receive
and be aware of it? Whose responsibility to transfer new information?
Mia : If you spend enough time to transfer this new policy and procedure with proper ways,
your responsibility is over. If your way of transfer is wrong, it is your responsibility.
Nadia : Do you want to check how much they learn through your training?
Jina : Yes
Nadia : Learning new policy and procedure is new employees responsibility. If they don't
understand something, they should ask to you.
Jina : I got a point. In my opinion, after induction, manager also should check how much their
new staff is aware of it.
Mia : Yes, that's a good idea. You can also put the process of manager checking if you want.
Jina : Thank you. And I have an idea about compliance, please listen to me and give any
thought or any opinion for me.
Mia, Nadia : Yes.
Jina : To keep up new information regarding regulatory and review if the policy and procedure
works well, I think we need compliance in charge manager by appointed. All compliance
responsibility are not for him or her, some basic responsibilities can be allocated on someone.
What do you think?
Mia : Compliance issue sometimes very important and it is high risk task, if we appoint
someone who does not have any legal knowledge, we might be in trouble.
Nadia : I totally agree with you and Mia. Appointing someone to take responsibilities regarding
legal matter is good idea, however, it is too risky.
Jina : If so, reducing some responsibilities can be an idea. Just checking how it works our policy
and procedure. Other legal matter can't take her or him.
