Thanks in advance. Using your WHSMS implementation plan created in Assessment Event 2, you are required to conduct a 10-15 minute team meeting. The purpose of the meeting is to communicate the WHSMS implementation plan. You will be required to have at least three other people in attendance.
Task 1: Prepare to facilitate the meeting
- Organise three participants to take on the following roles:
- Participant 1 - You ( WHS Advisor)
- Participant 2: Represents a manager
- Participant 3: Represents a contractor
- Participant 4: Represents a worker.
- Send an email to your participants inviting them to attend the team meeting. The invitation must communicate their roles, duties, responsibilities and follow organisational policies and procedures.
Task 2: Facilitate the meeting
- Facilitate a 10-15 minute team meeting. Ensure you address each of the following criteria in the meeting:
- Communicate and explain the WHSMS implementation plan and associated policies and procedures.
- Facilitate the work team's contribution to implementing the system.
- Assist others in implementing the plan by detailing the relevant Key Performance Indicators (KPI).
- Outline the monitoring and review activities of the plan.
- Seek feedback for improvements to the WHSMS implementation plan. You must detail at least one improvement including each stakeholder's role and responsibilities.
- Apply questioning and active listening skills to identify and discuss feedback requirements.
- Use appropriate structure and language to present information and advise the audience.
The meeting can be conducted in your workplace, suitable venue (for example, a classroom) or an online environment such as MS Teams, Adobe Connect or another medium. Manager

So, what is a Work health and safety management system?
A Work health and safety management system is a set of Policies, Procedures, elements, and documents that manage work health and safety in a guided systematic approach, and we are going to be using Policies, procedures, elements, and documents to implement this systematic approach within our organization.

Very good question, We will be conducting Meetings, Inductions and training through out the implementation process to ensure everyone is up to date and understands what is being communicated and communication surveys will be handed out at the completion of the meetings, Inductions, and Training to ensure what is being communicated is understood and emails will be our other form of communication to schedule the meetings, inductions or training and communicate general information.
As communicated in the email for this meeting, I have been in communication with the PCBU within the past week and has informed me that there has been a request for a Health and safety representative from a worker, So with this information we are going to conduct an election for a HSR with a show of hands.
Just before we conduct this were there any questions in relation to the election of the HSR?

Yes absolutely, A health and safety representative will consult with you on a regular basis and if you have any concerns with the implementation of the work health and safety management system you can consult and communicate with the HSR to seek clarification and they will provide advice on health and safety matters for you as a worker. The HSR can investigate any complaints that you may have and will be monitoring compliance to ensure your health and safety in the workplace.

Ok the work health and safety management system has 3 policies, the 3 policies are,
The Work Health and safety Policy
The Risk Management Policy
And The Incident Management Policy
Our manager ......... implements these policies and reviews them every 3 months with a full overview every 12 months.
With those 3 policies are procedures and processes they are,
Health and safety induction and training, During the Inductions and training .......... will conduct an Induction and training checklist, this checklist will ensure that workers are certified and that their attendance is documented, at the completion of the inductions and training ......will hand you a communication survey to fill out, this survey must be returned within 2 weeks to ensure data entry.
Workstation ergonomics training will be conducted, and a workstation ergonomics Hazard observation checklist will be filled out by ........the supervisor, every Friday to ensure there is data entry every week and enough data entry for the 3-month review and 12-month overview of this process.
The Emergency plan, with evacuation procedure and we have our fire warden in the room today who is ...... , routine fire drill every 6 monthsand the risk management form is filled out every Friday to ensure there is data entry every week and enough data entry for the 3-month review and 12-month overview of this process.

With KPIs within the WHSMS I have 3 and the 3 KPIs that I am going to communicate with you now run right through the organisation from the minute you are inducted to the time you finish work at the end of the day to go home and the KPIs have a flow effect from each KPI,
The KPIs are,
An observation KPI being - Hazard observation checks conducted.
The target is - the number of observation checklists conducted and the
Indicator is - the Number of hazard report forms submitted, ensuring observations are being thoroughly conducted.
The hazard observation checklist is a printed-out form that has 25 yes or no questions that must be filled Friday, of every week, the Observation checklist form will be returned to myself, for data entry to enable a graph to be formed.
I will review the graph every 4 weeks of the 4 checklists, with the data obtained to ensure lead indicators.
3-month review with 12-month overview meetings will be conducted to ensure communication to workers.
The next KPI is a consultation KPI, where meetings are conducted every 3 months.
The target is - the signatures of attendees at the 3-month meetings are obtained on the attendance form.
The indicator is - the number of signatures are the same as the number of emails that are sent out with the meeting information.
The Meetings will be conducted to observe the Observation checklist every 3 months with full overview at 12 months this is to ensure all workers are up to date with information and no further meetings need to commence, due to a worker missing a meeting.
The final KPI is a communication KPI to ensure communication is conducted and understood.
The target is - to commence inductions, training and meetings and it's the number of communication surveys handed out and filled out at the end of the inductions, training, meetings.
The indicator is - the number of communications surveys returned, and positive communication conducted to involved workers.
With the inductions, training and meetings key information is communicated and a communication survey is handed out to each worker in attendance at the conclusion.
The communication survey needs to be returned within 2 weeks to the supervisor.
The number of communication surveys returned with positive communication indicators from the inductions, training, meetings will ensure the communication was effective and understood.
The monitoring of the KPIs are 3-month review with a 12 month overview by the supervisor and monthly reporting to the manager to ensure lead indicators and effective structure.

The forms and checklists are all documented on paper and then handed in which then gets manually documented on a computer,
Would the idea of a touch pad with the forms and checklists on it be more efficient and data entry would be instant and no paperwork would get lost between filling it out and handing it in?
I think that idea would be very beneficial to Plan2go! And definitely assist with the implementation of the WHSMS!
Manager - and the use of the touchpads can be used at all levels, brilliant improvement.
Worker - How would you go with keeping the touchpads charged?
We can look into a charging station, where you go and retrieve the touch pad, then you take it back and put it on the same charger when you have finished with it.
