Hi there, I need some help with this assessment please as it's been sent back and i'm still not understanding properly and i'm feeling so stressed, it's made up of 2 parts. This is Part A, I decided to base my improvement and learning opportunities and to focus on the areas of quality and inviting learning environments in the LDCK room. (You could elaborate more if you like). Please see below what is needed to complete Part A. Please help me and I'm thanking you in advance.
This task aims to demonstrate your ability to work closely with a team and stakeholders to identify improvements and learning using analytical, creative and management skills by reviewing your organisation's systems, operations and performance in a working area, following internal processes.
To achieve this task successfully, you must:
- Identify the work area and team members to work with and mentor through the process
- Identify strategies to collect data and information on performance, systems and processes
- Source the data and information using identified strategies, including consultation
- Analyse information
- Conduct a gap analysis and identify improvements and learning opportunities
- Conduct a cost-benefit analysis
- Consult with stakeholders.
- Identify the work area and team members to work with and mentor through the process
The first stage of this task is to identify the work area and key people to work with in managing improvements, innovation and learning opportunities. Arrange a communication session to promote and discuss the particulars, including the best way to work within the team to encourage a positive relationship.
Determine the most suitable communication approach that will allow you as the manager to share and invite feedback on the following information:
- The overall objective of the project
- The importance of innovation, including the benefits and how team members will be rewarded
- The expectations, roles and responsibilities of individual team members, including the best approach for the team
- The desired outcome.
The communication approach may include the following:
- Formal meeting
- Presentation
When planning and presenting the information, consider how you intend to promote the value of creativity, innovation and sustainability, and recognise and reward successes.
Ask each team member to complete the feedback form evaluating the following:
- Effectively communicating the desired outcomes and expectations
- Encouraging the importance of building a positive relationship
- Promoting the importance of innovation, improvements and learning
- Discussing benefits of success and rewards
- Encouraging contribution and questions.
Document the evidence using Appendix 1 - team member template and Appendix 2 - team member feedback form
2. Identify strategies to collect data and information on performance, systems and processes
In consultation with relevant stakeholders (including team members), arrange a meeting to discuss strategies that could be used to collect data and information, to monitor and evaluate individual and team performance and sustainability systems and processes.
Consider the social, economic, and environmental domains of the work area.
Use this opportunity to guide and mentor your team members in identifying suitable strategies to contribute to continuous improvement.
Stakeholders may include:
- Organisation's quality manager
- Colleagues/employees
- Clients/customers
- Subject matter experts
- Health professionals
- Finance department
- Marketing department
- Human resource department.
Some examples of strategies which must be included are:
- Surveys
- Consultation sessions
- Conducting a gap analysis.
Strategies which may be included are:
- Observation
- Audits
- Feedback forms.
Data examples include:
- Customer feedback
- Timesheets
- Performance reviews
- WHS incident reports
- Stocktake and resource wastage reports
- Financials
- Sales and marketing reports
- Team member feedback.
Document the outcomes of the meeting outlining the selected strategies and stakeholder input using Appendix 3 - Minutes of the meeting.
3. Source the data and information using identified strategies, including consultation
In consultation with others, you must source and collect data using the strategies outlined in the previous section.
Collect and record the data and its usefulness using Appendix 4 - Data and information template.
4. Analyse information
Use the information from point three (3) to analyse and evaluate the data, including:
- Variances from reports and organisational plans
- Reasons for variances
- Changing trends and opportunities
- Staff competence and development needs.
Use this information and conduct a SWOT analysis to identify and document the business area's strengths, weaknesses, opportunities and threats. Discuss and agree with team members' actions to build on the strengths and address the weaknesses, along with opportunities to address the critical threats.
Document the SWOT using the Appendix 5 Analysis template.
5. Conduct a gap analysis and identify improvements and learning opportunities
To identify improvement needs, you must conduct a gap analysis of supply chains, operational and service processes, and individual competence levels within the work area.
- Supply chains with the work area
Map a supply chain from the production line to the delivery of a service or product in the work area.
With team members, identify where you can cut costs and improve efficiency by following the methodology outlined below:
Methodology:
- Brainstorm the suppliers for the work area
- Using a flow chart, identify the supplier and customer activities. Ensure you include the flow, money and time for a complete analysis
- Analyse the process to identify gaps and areas for improvement
- In agreement with team members, prioritise the improvements.
- Operational and service systems
Follow the methodology to analyse an operational and service process
- Using a flow chart, document the steps to achieve the current process
- Analyse the process to identify gaps and areas for improvement
- Document the preferred/recommended process.
- Skills audit matrix
Based on the outcomes from the two (2) gaps analysis, document a skills audit matrix on relevant team members by rating their level of competency low, medium or high, against the competency/skill required.

6. Conduct a cost-benefit analysis
Conduct a cost-benefit analysis to determine the costs associated with one (1) of the opportunities/improvements identified. You should consult with relevant people to identify the projected costs of the options and the expected benefits. You should use your organisation's internal analysis process to perform this task.
- Determine the costs (Remember to consider the direct costs such as expenses including labour costs, manufacturing materials and inventory costs)
- Determine the benefits
- Provide benefits with a monetary value
- Compare the two to determine either success or a shortage.
7. Consult with stakeholders
Identify the importance of feedback and invite stakeholders (including team members) in the decision-making process by using the preferred consultation method to obtain input and agreement on the analysis conducted in this section.

- Meeting
- Forums
- Interview
- Workshops
Use Appendix 6 - Stakeholder consultation template to document and capture the evidence of the consultation session.
