I prepared and planned to chair a staff meeting.

The purpose/ goal of the meeting was to discuss the findings and new requirements from our recent spot check regarding our documentation and checklists.

I begun by welcoming all participants and introduced myself as the chairperson. I discussed a brief outline of the purpose/ goal and led the meeting. To inform staff about the changes and new additions to our documentation, I took the time to not only discuss it with them but also read through each task on our new checklist. I observed staff nodding their heads in agreement, when given the opportunity to ask questions, the team responded that they didn't have any and understood the new requirements and what was now expected of them regarding the changes. I believe the purpose/ goal of the meeting was achieved, the staff were aware and I shared that each day I would check in with the staff member who is responsible for completing the tasks as well as the checklist as a follow up to ensure they understood. I shared information with the team during the meeting about what the checklist was for, the type of tasks they would be doing and singing off on and as a team, we decided the staff member doing a later shift would have the responsibility of carrying out the duty and completing the checklist.

The timing of the meeting went well and ran to schedule. Each agenda item was presented within the allocated timeframe.

As I mentioned, I will be personally giving one on one time to each staff who has the duty of fulfilling the tasks and completing the checklist as a follow up to ensure they are aware of what is expected of them and what is required.

The service and team is quite small so there were no issues or challenges that arose, each staff member was respectful and attentive to those who presented and shared their input and thoughts.

Apart from myself, there was only one team member presenting matters and they stayed on topic and provided clear points.

I believe my skills as chairperson could be further developed in the way I communicate. I felt nervous and the team picked up on that. My voice was shaky, I was unable to hold eye contact and used the word "um" repeatedly. I don't feel professional in the way I talk but feel confident I can communicate clearly when necessary. Despite my lack of confidence, I received reassurance from my team throughout the meeting that I was doing a great job which really helped to calm my nerves. By the end of the meeting, I noticed I was doing better in my communication but I feel there is room for improvement. I have never been a great public speaker so it is something I would like further improve.
