Landscape Technicians WBS 1.2.3 - Project Team Kickoff Meeting: Signifies the official start of the planning process and provides an opportunity to share plans for leading the project to a successful completion. Attendance in the meeting will consist of the Project Manager, Project Team Members and the Project Sponsor. The first meeting is a knowledgeable draft where team members will validate their task responsibilities and timeframes for reasonability, completeness, and accuracy. The plan will become more established at the first project status meeting. WBS 1.2.4 - Develop Project Plan: The project plan provides a road map (including clear milestones) for everyone in the team to follow. It is important to note that a project plan is a set of living documents that can be expected to change over the life of the project. The project plan is the major work product from the entire planning process and contains all planning documents for the project including cost estimates, monitoring and performance metrics, risk management, procurement, and communication, staffing and quality plan. The WBS will be based on the project plan to identify all the deliverables to be produced by the project. WBS 1.2.5 - Submit Project Plan: A copy of the project plan will be submitted to the Project Sponsor by the Project Manager for review, approval and final prioritization before the commencement of work on the project. WBS 1.2.6 Mile Stone: Project Plan Approval: The approval of the project management plan provides confirmation that the project information and management strategy have been developed to a level of detail sufficient to proceed to the execution phase in compliance with the project objectives and requirements. Upon the approval of the project plan by the Project Sponsor, The Project Manager begins the execution of the project in accordance with the project plan. WBS 1.3 EXECUTION: Execution consists of the processes used to complete the work defined in the project plan to accomplish the project's requirements. Most importantly it contains a denition of each Work Package which can be thought of as a mini scope statement. Resources on the project will look at the WBS dictionary to determine the scope of the Work Package they've been assigned, so it's important to be clear when writing the denition. WBS Dictionary [Text Format) WBS 1.1 PROJECT INITIATION: Initiation of the project will begin with a project kick off meeting to meet with all stakeholders to review the plans outlined in this request for proposal. The initiation of the project will begin with the WBS, and the information contained here within WBS 1.1.1 Evaluation & Recommendations: Our evaluation group will consist of a number of cross functional team working alongside the project sponsor Hotel Columbus, to evaluate all sets of solutions provided and make recommendations where required. The team will work together to nd a solution that best meets the needs of the customer, contractor, as well as the design and overall scope of the project. The makeup of the team will be as follows: 0 Purchasing Sponsor (Hotel Columbus): Paul Francis Project Manager (Berry Complete Inc): Mary Higgins Site Superintendent (Berry Complete Inc): Paul Peters Director of Facilities (Hotel Columbus): Brooke David Operations Manager (Hotel Columbus): Jesse Jarred WBS 1.1.2 Project Charter: Berry Complete Landscaping, Inc. is committed to creating a design that meets each customer's expectations and reects their personality. We work side by side with our clients to ensure project requirements are captured and delivered in the nal product. The project charter will be a summary document containing the following information: reasons for undertaking the project project budget and other constraints structure of the project list of stakeholders including team members and customers project structure and key roles of all team members list of key deliverables and deadlines risks, issues and assumptions WBS 1.1.3 Deliverable: Submit Project Charter: The project manager will deliver the project charter and objectives to the project sponsor for review and authorization two weeks before the commencement of the project. In addition, a copy will also be made available to the other stakeholders upon written request to the project manager. The charter will be delivered in a timely fashion in order to ensure the timeline is in order. WBS 1.2 WBS 1.1.4 -Review of Charter by Project Sponsor: Upon receiving the project charter, the project sponsor will review the charter to ensure that lli understanding of all implications within the charter and objectives. Any clarication from the sponsor wiil occur during this phase, and promptly forwarded to the project manager who upon receipt will revise the charter and resubmit for review. WBS 1.1.5 Project Charter Signed/Approved: The Project charter will be approved and signed by the project sponsor and delivered to the project manager by 9:00am on the rst working day one week before the commencement of the project. Upon receiving the signed charter, the project manager will move forward with the development of the planning process. After this date, any major changes to the project will be required to be reviewed by the evaluation group, for clearance and authorization. PLANNING: The planning stage will involves the whole project team in developing the plan, to ensure all team members' experiences are considered and each person is fully committed to, and has ownership of the plan. WBS 1.2.1 Preliminary Scope Statement: The Preliminary scope statement is an agreement among the project team, the project sponsor and key stakeholders and represents a common understanding of the project for the purpose of facilitating communication among the stakeholders and for setting authorities and limits for the project manager and team. The scope statement includes relating the project to business objectives, and dening the boundaries of the project in multiple dimensions including approach, deliverables, milestones, and budget. Berry Complete Landscaping lnc. scope statement will include the following; I Project Goals & Objectives Technical requirements A realistic project timescale. Details of resource requirements. Validation of the estimated cost. Identication of task slippage. Early warning of problems Review WBS 1.2.2 - Determine Project Team: It is the responsibility of the project manager to assemble project team members with the right mix of skills to ensure the smooth and successful execution of any project. Each team member is required to deliver the necessary tasks according to the project schedule. Project team member will possess the required certications and/or licenses needed to work on the project. Resource allocation depends on the level of expertise team members have, the scope of the project, and budget available. Team members will comprise of but not limited to: I Project Manager 0 Landscape Architect 0 Landscape Designer - Provide team members with an understanding on their duties and responsibilities. WBS 1.3.2 - Verify & Validate Design Requirements: The original project requirements is reviewed by the project manager and team and then validated with the users/stakeholders. Clarication for any Ambiguity is will be done at this stage as well as verication that the Project Plan elements are viable and consistent with the WBS and match the Statement of Work provided to Hotel Columbus. Each step of the WBS will be monitored and if necessary a change request will be initiated. WBS 1.3.3 - Prepare Landscape Design: Our Landscape architects will work with KPMB Site Architects to conceptualize the require landscape designs base on drawings and specication prepared by KPMB and oversee the construction of the landscape development for the projects. Prior to preparing the design, our landscape architects will confer with the project sponsor to determine design needs, survey and assess designated sites and develop designs taking into consideration landscape features, buildings, climate, future usage and other aspects In addition, our landscape architects will prepare or oversee the preparation of detailed drawings for sites, including features such as trees, shrubs, gardens, lighting, walkways, patios, decks, benches, fences, retaining walls and fountains. The architect will also estimate costs and may manage and supervise the landscape construction work. WBS 1.3.4 Procure Sprinkler System, Lawn, Patio, Walkway, Perennial & Annuals Plant materials: The project work depends on materials procured for the project. The delivery of these materials inuences the scheduling of the project. The following materials will be procured by the Project Manager; 0 Materials for two block walls and schedule delivery for concrete, blocks, mortar, etc. 0 Materials for Flagstone patios and schedule delivery for sand, gravel, agstone, etc. o Shrubs, Perennials and Annuals Plants and schedule delivery for Agave Cactus, Forestiera bushes, Pinion trees 0 Materials for ground covering and schedule delivery for weed matting and crushed rock 0 Materials for Sprinkler System and schedule delivery for 3 500 Series Rotors 1/2" Inlet Part-Circle Rotor Pop-Up Sprinklers Appendix A shows the intended materials to be procured WBS 1.3.5 - Install Sprinkler System: Excavation will be done to install an underground irrigation system which has be chosen due to the type of grass required for the lawn, soil type which affects the efciency of irrigation to provide better control of the moisture content of your soil. WBS 1.3.6 - Install Lawn: Once the sprinkler system has been installed, work will then commence to install the lawn. The installation will include top quality turf and topsoil. The lawns will be installed on a growing medium with a composition of 50% sand premixed 50%composted organics for a well-draining environmentally sustainable soil at a depth of 6 inches. A Lawn drainage system will also be installed to solve any standing water problems. WBS 1.3.7 - Plant Shrubs and Flowers: Once the lawn has be installed, shrubs and flowers will then be plant in garden beds directly in front of each building, tight to the building, and on both sides of the front main entrance doors. These garden beds will be identical in shape and measure 15' x 15. All garden beds will be filled with a variety of both annuals and perennials suited for the regional climate. Sample flowers can be seen in Appendix A WBS 1.3.8 - Build Patio & Walkway: Patio and Walkway will be constructed in front of each of the buildings' main entrances according to the design specification, and will include large stones laid together and sealed with cement to create driveways, patios, paths, and decks. These stones will be rectangular, square, interlocking, and stamped concrete. In addition gravel will be installed to complete the walkway. WBS 1.3.9 - Testing Phase: The sprinkler system will be tested once the patio and walkway has been completed to ensure accurate spray distance and proper working conditions. WBS 1.3.10 - Landscape Complete: Successfully testing of the sprinkler system signifies the completion of the landscaping activities. WBS 1.3.11 - Temporary Buy-off: Once the landscaping activities have be approval as completed to the project requirements, final payments for the landscape activities as specified in the contract will be made. WBS 1.3.12 - Perform Seasonal Maintenance for Six Months: Maintenance of the new landscaping includes cutting the grass, pulling and spraying for weeds, bush, scrub, and tree trimming, and leaves cleanup. Also included are watering flowers as well as replacing dried out flowers. WBS 1.3.13 - Final Buy-off: This occurs when the maintenance portion of the contract is finished six month form the start date and at this point final payments are made and the project is completed. It signifies the termination of the project between Berry Complete Landscaping Inc. and Hotel Columbus. 10
