Currently, a student can sign up for an extracurricular event or sponsored trip by going to the Student Services department. This is the department your team will report to while creating a computer system for them. John Williams is in charge of this department. He has told us that after a student has signed up for an extracurricular or sponsored trip, the department checks to ensure the student has the prerequisite GPA for the event AND is not delinquent on their account. Both of these data points are created by the Student Account department. Currently, students are billed separately for the extracurricularstrips but everyone at NNSU would like to see this streamlined. Charges for Extracurriculars should be stored in a file which will be read by the Student Account system to be added to student bills.
Each trip scheduled must be sponsored by a company that is currently interviewing students at NNSU. The BPO Admin system maintains a list of companies currently interviewing at NNSU. ExtraCurricular events must always have a faculty or staff sponsor. Right now, there is no electronic list of all faculty and staff at NNSU for this purpose.
Certain activities are offered every year. To track which event a student attended, the date of the event must be stored. While the company sponsor of each trip activity remains the same from yeartoyear, the facultystaff member who sponsors the event may change. Currently, students interested in an extracurricular or trip sign up for it by going into the Student Services office and signing up there. NNSU thinks they will get greater attendance if students can sign up electronically from anywhere although they still want to offer the walkin option of signing up
The Student Services office would like a better way to add new activities and trips. Right now, everything is manual. They want to automate adding new tripsevents each year into their system. From this then, students will be more easily able to sign up for events and trips.
Another important part of traveling offcampus on universitysponsored trips are that legalities be followed. Students must go into the Student Services Department to drop off signed consent forms. Alternatively, the department would like to see these forms be placed online. The important thing is to see the student has signed acknowledging and accepting risks of going offcampus.
Students and faculty have also requested a way to suggest new extracurriculars that students are interested in Faculty members have found that student driven extracurriculars have better success. Thus, students should be able to petition for new activities. Students can writeup a Petition for a new extracurricular. The Petition must have student signatures. The student services department head, in consultation with faculty, will decide if the activity is acceptable. A faculty member who has voted to approve the extracurricular must agree to be faculty sponsor of the activity. This process should be automated, although a paper version of a petition should still be accepted. When automated, students will be able to enter the petition into the new computer system.
