  • This role play has four (4) different roles, including the student/project manager.
  • You: Project Manager
  • Gervase: chief executive officer
  • Maddy: marketing manager
  • Helen: corporate services manager

Instructions:

  • Remember what you're being assessed on; the practical application of soft skills like your attitude, your style, and your language. If in doubt, check the question text in the practical assessment document.

  • If you only have one partner, they play/read all the roles except yours.

  • You'll need to have your completed project brief and stakeholder template ready to guide your part in this role play.

  • The parts are indicated with names in brackets, like this: [YOU] [ANTHONY]
  • When something is written in bold, it's just a guide - not a line you have to read word-for-word.

There's often no script for what the manager (you) says; just guidelines. That's part of the challenge! Don't read these lines out. Instead, answer in a way that fulfils the guidelines. For example, if the guideline for you were:

[YOU]: Name and describe a fruit. Say something good and something bad about the fruit.

The scene is a meeting room with Gervase, Maddy and Helen meeting with the project Manager.

[YOU]: Greet everyone and open the meeting.

[GERVASE]: Let's make a start, I don't have all day. This shouldn't take long, will it.

[YOU]: Thanks Gervase, this should not take much time, as the project brief covers all the important information that we need at this time, and I'm here to make any necessary changes and get everyone's approval.

[MADDY]: Sounds good. Alright, well we've all got copies of the project brief. Go ahead and walk us through it.

[Gervase]: Yes, I remember that you had me as the Project Owner, but I informed you that I was far too busy and I asked Maddy to step in. But I see that the project brief states that I am still the Project Owner.

[YOU]: You start by explaining the governance arrangements within the project brief. Make sure you response to Gervase that he is correct. Explain how Maddy's role relieves him of much involvement in the running of the project.Cover the role of project owner, the project sponsor (Maddy), and the project manager (you). Refer to B.3

[Maddy]: We've always done projects pretty badly around here in the past and it is great seeing all your planning and work is documented and that it clearly explains our governance arrangements and what our roles are throughout the project.

[YOU]: Ask if everyone agrees with the governance arrangements to ensure that there is a common understanding from everyone in the meeting.

[Gervase]: Yes, yes. I understand now. These are fine.

[Maddy]: I understand the roles that you have documented in the project brief.

[YOU]: Ask Helen (remember to use your questioning skills) if she understands the roles that you have outlined, as she has been quiet in the meeting so far.

[Helen]: Seems clear to me. The only thing that I am unsure about is what you need from me in this meeting.

[YOU]: Inform Helen and the others that you are about to cover this.

[Helen]: OK, no problems.

[YOU]: Based on what Helen has asked, you need to move on to the stakeholders. Explain to the others that you are going to confirm the stakeholders that you listed in your stakeholder register template, and their involvement.

[YOU]: Outline your stakeholder register. Ensure that you cover the different stakeholder types

[Maddy]: OK, I don't see any issues here.

[Gervase]: Yeah, but why are neighbours of our new location listed? What do they have to do with us moving?

[YOU]: Explain why these people are stakeholders and the specific purpose of listing all stakeholders in your stakeholder register.

[HELEN]: While I was not here when we set this place up, I have heard about the horror stories.

[Maddy]: Yes, too many bad stories to cover in this meeting!

[Gervase]: OK, sounds like we're more or less on the same page that we don't want what has happened in past projects. What can we d o about this?

[Maddy]: Maybe you can conduct a performance review of the stakeholders that we have used in past, with Helen's assistance of course! She has the experience in conducting performance reviews?

[YOU]: Respond to Maddy's suggestion accordingly. Seek Helen's agreement about helping you lead a review of contactor performance.

[HELEN]: Happy to help.

[YOU]: Thank Helen. Ensure you indicate that you will meet with Helen after this meeting to set up the performance reviews. Tell the group you'll send them more information after your meeting with Helen

[Maddy]: Is everyone happy with that?

[Gervase]: Yep, happy with that.

[HELEN]: Sounds good, glad I attend this meeting.

[YOU]: Before you conclude the meeting, ask Gervase if he will approve the project brief.

[Gervase]: Yes, I am Ok with this. Leave it with my PA and it will get done.

[YOU]: Conclude the meeting. Ensure you say good bye to Gervase, Maddy and Helen.
