Case Study Universal Apartments

Universal Apartments Inc. is a company that owns apartment buildings throughout the cities in Ontario. The company started its business in 1970s from one apartment building in Toronto. But now they have expanded their business into many cities in Ontario. With their business growing, the company started to notice the limitations of their current way in managing their buildings across different cities. The company management team has decided to build a cloud-served information system to streamline all the departments activities across the cities. Your team is hired to help them with developing the system. The headquarter of the company includes the following chief officers: CEO, CFO, CHRO, COO and CIO. They make strategic decisions for the company and oversee the operations of the business areas in the company. The company has the following key business areas which need to be supported by the information system being developed.

Employees Management

Each building has a property manager assigned to it, who is responsible for renting units, dealing with renters issues, and so forth. Legally, all property managers must have a yearly certification, that indicates that they are qualified to do their job. Assume the certification is issued by Ontario Property Management Association. Candidates are required to take certain courses to obtain the certification for the first time. The certificate is valid for one year and candidates are required to take a renewal test to renew the certification each year. Company management will post job positions on the company website when a property manager position is available to be filled. Potential candidates will apply for the position and provide their certifications. All property managers must renew their certification status with the company every year. Property managers are paid a yearly salary. The company also hires cleaning staff and concierges, who are paid an hourly wage.

Rent Apartments

The property manager of each apartment building will be responsible for maintaining the apartment units renting. When a unit is vacant to be rented, the unit may require simple renovations including, wall painting, floor repair, plumbing repairs and/or electrical work. Property manager will negotiate renovation contracts with selected contractors. The companys accounting department will issue payment cheques to contractors once the property manager has signed the acceptance letter of completed work. Once the renovation is done, the vacant units will be released to public for application. Property manager will screen the applications and choose one applicant to proceed. Rental contracts are signed for at least one year. The successful applicant must provide two months rental as deposit for the first month and the last month of rental and provide ten cheques for the ten months rental in-between. Tenants can extend the rental period after the contract period and pay the rental month by month. When a tenant would like to end the tenancy, he or she must inform the property manager in writing, 60 days before the rental contract expires, otherwise, the tenant must pay 60 days rental starting from the day of written leaving notice.

Building Maintenance

All the buildings require regular maintenance including In-Suite Fire System Testing and In-Suite Fan Coil Maintenance, through each year. The property Manager must schedule the maintenance with necessary contractors and then schedule the maintenance activities for each unit. The property manager records the status (planned, done) of each maintenance activity on each unit. If any broken or unworking parts in units are found during the maintenance, the property manager will schedule special maintenance work on the parts. The Property manager will also follow up and make sure all regular and special maintenance work have been done properly. The companys accounting department will issue payment cheques to the contractors once the property manager has signed the acceptance letter of completed maintenance work.

Service Ticket Management

Currently, the company has a tenant relations hot phone line to take tenants requests or complaints. The company would like to build a ticket management system which will be used to deal with not only tenants requests and complaints, but also employees requests and complaints. Both tenants and employees will submit their requests and complaints through tickets. The system will differentiate tenants from employees when they register their accounts. The ticket handling team has designed a few categories of tickets for tenants and a few categories of tickets for employees. After tenants or employees submit their tickets online, the manager of the service team will review the tickets and assign each ticket to one specific service employee to handle. The service employee will work with the property manager of the building to either schedule resolving the problem with the cleaning staff or hire a contractor to fix the problem. Solutions requiring an outside contractor must be approved by management. Once the service employee is satisfied with the solution, the tenant or employee who submits the ticket will close the ticket if they are satisfied by the solution. If not, they will reply with more questions or arguments. Should a service ticket be disputed, the ticket will be passed to another service employee and the process starts again.
