TASK 1 - PREPARING FOR WORKPLACE COMMUNICATION The first step in applying communication approaches in your workplace is preparing for communication. This involves the essential planning that will allow you to engage in communicating efficiently. The first task in your planning process is the identification of work activities which require communication, which is fundamentally the assignment or sharing of information. In essence, every interaction you will ever engage in requires some form of communication. The same goes in the workplace, where interactions are at the core of your operations. Therefore, it is your responsibility in your Supervisory Role to identify communication requirements for your teamwork activities and assign roles to others to fulfil those requirements in accordance to workplace policies and protocols, as well as code of conducts by addressing the subsequent: b- List various workplace/ job activities that must be communicated to your team effectively. c- Outline what do you need to successfully engage in communication in a given work activity? d- Explain the steps involved in assigning workplace communication roles within your team or department e- Properly name key personnel as you prepare for communication that you will need to seek out the necessary assistance or clarification from. f- Nominate appropriate workplace verbal and/or written communication methods for reaching out to internal and/or external stakeholders ensuring your selection of communication methods must be aligned with the relevant organisational and legislative requirements.

TASK 2 - USING WORKPLACE COMMUNICATION STRATEGIES TO DELIVER WORK INSTRUCTION Having adequately prepared for communication, you can now move on to the next task of involved in applying communication approaches in the workplace. This second step is to create the communication requirements for the work activities you have identified. To ensure that you are effectively prepared to engage in workplace communication, you must use communication strategies to provide work instruction. Using communication plans to provide work instruction involves few steps. First, you must use proper presentation approaches to communicate information or instruction. Your selection of such methods will be based on the requirements of your audience. Likewise, you must use the appropriate methods of communication to communicate information or instruction based on the requirements of your audience. Lastly, you must negotiate expected work requirements with others and clarify that the instructions that you have provided have been sufficiently understood.

Continuing in your Supervisory Role it is your responsibility is to present and convey information to others in a way that they can comprehend and demonstrate that the needs of all receivers, including those from diverse backgrounds have been well thought-out by understanding your audience. Thus, it is important to discuss with your team important information regarding their work activities, assigned roles and activities using various methods of communication i.e., meetings, emails, SMS, video conferencing, presentation and so on to suit different audiences by addressing the following: 1- Specifying variety of formal/ informal presentation methods you can choose from to provide information and/or instructions to your team members. 2- In the context of the workplace, there are different communication styles that merit discussion. Detail and briefly explain related communication styles to interact and exchange information with others. 3- The process of clarifying and negotiating communication roles is relatively straightforward. TASK 3 - FACILITATING WORKPLACE COMMUNICATION Now that you have established the communication requirements of your identified work activities, you can work on your next task. The third step in your progression encompasses facilitating workplace communication. It is at this point where you implement plans for applying communication strategies in the workplace. As with the preceding tasks, there are steps involved in facilitating workplace communication. First, you begin by using interpersonal skills to build relationships with team members and clients alike. As you do, you must likewise facilitate respectful interaction. Likewise, you must then facilitate respectful communication amongst others, considering the needs of those from diverse backgrounds. Along with these steps, you must also use problem solving and decision-making skills to resolve any communication challenges that you may encounter along the way. Finally, you must obtain confirmation on the outcomes of communication challenges to ensure issues have been resolved. Continuing in your Supervisory Role it is your responsibility is to demonstrate problem solving practices to negotiate and resolve communication challenges by building relationships with team members and clients as well as facilitating respectful interaction. Therefore, it is your duty to address communication challenges relevant to workplace communication performance, conflicts with clients or team members, potential risks, or safety hazards and unethical or inappropriate communication by reporting on the following: i. Your guidance to use interpersonal skills for team relationship building ii. Useful techniques that would help you communicate cross-culturally including Aboriginals and Torres Strait Islanders, Culturally and Linguistically and Diverse Communities and individuals who have disabilities iii. Most common types of team/ client conflicts and the subsequent techniques to address them. iv. General processes to ensure workplace communication challenges/ issues that falls outside of workplace policy have been sufficiently resolved.

TASK - 4 MONITORING AND SUPPORTING TEAM COMMUNICATION The final task in applying communication plans in the workplace involves monitoring and supporting team communication. As with any job, your work does not stop with the implementation of your plans. In the essence of continuous improvement, you must try to closely examine your communication efforts. Building from your findings, you must then determine how these can be further developed and how you can provide leadership and support for others. The process of monitoring and supporting team communication involve ensuring that all communication is consistent with legislative and organisational requirements. Then, you will provide performance feedback and additional support to others when such is required. Along with giving feedback, you must also seek feedback and assistance from others to improve your own communication techniques. Finally, you must collate and report any important information and unresolved issues to relevant superiors to ensure that all problems you encounter are sufficiently addressed. Continuing in your Supervisory Role it is your responsibility is to evaluate the workplace team communication processes and detect areas for improvement, as well as reporting to relevant managers as necessary. Hence, it is important to report the following:
