CASE STUDY: Under the Sea Reunion You have recently answered an ad in your local paper to join the Dundas Valley High School Reunion Committee. You cannot believe that fifteen years have passed since you graduated, and you are excited about the idea of a reunion. At the first committee meeting, you are designated as Project Coordinator by the committee chairperson, Chen Lee You remember Chen from high school. He was opinionated and loud, but you admire his enthusiasm for this reunion and decide that you can manage his opinions through open communication and mutual respect. After all, it has been fifteen years. You start to think about some location options: 1. A new beachfront restaurant has opened at the pier. It has capacity for 200 guests, plus the outdoor patio 2. The Dundas Valley High gymnasium is available 3. The Sunset Inn ballroom could be rented. It has capacity for 250 guests but has no outdoor space. The first option is a beautiful setting but the outdoor patio would be required to accommodate the expected 250 guests; weather conditions would be risky. They would host and cater the event for $50,000 Chen quickly said no to option two, the Dundas Valley High gymnasium, despite its low budget ($15,000) and convenient location. "We'll all smell like gym shoes!", he had proclaimed The third option of the Sunset Inn ballroom would be the nostalgic choice as that was where your prom was held. It was a bit dated and would require decorating. This option would cost $25,000 in total (including food, door prizes and decor) The committee choose Option 3. It needed a bit of a refresh, but they could not resist the memories it held. Committee member, Cara O'Connor had been assigned as decorator immediately, as this was going to be a big task. Cara had failed to get into design school, but nevertheless felt that she had a keen eye for colour and space. She and Chen were lifelong friends and decided that the theme for this reunion would be the same as prom, fifteen years earlier "Under the Sea". You make a mental note to try to keep Chen and Cara from making all the decisions The event planner from the hotel, Viren Choudhary is an old, but energetic man who is very excited to be hosting the reunion. You suspect that the Inn's ballroom has not been used in a while (perhaps since your prom). He has lots of ideas on how to spruce the place up, so you quickly pair him with Cara and decide they need a healthy budget. You assign your old pal, Paramjit Singh to the task of communication via social media. He is considered an influencer and has accounts on all social media platforms. He is excited to start spreading the word. Communication with the catering company, Farm-to-Table, is important to ensure that they understand the dietary requirements. You remind yourself to provide them with the counts for vegetarian and gluten-free meals. You also need to pick a cake and print menus. The reunion is scheduled for four weeks from now. Today is Monday, November 2, 2020 and the big event is scheduled for Friday, November 27, 2020. The Sunset Inn has requested their $5,000 rental fee upfront, so that is paid quickly to secure the date. Cara is making much of the dcor herself and requires $500 a week for each of the four weeks for supplies. Door prizes to be bought in the third week will cost $5,000. Farm-to- Table has requested a 10% deposit now, with the remainder of their $13,000 in catering costs due on the day of the reunion. As all of these details swirl around in your head, you decide to write them down into a number of planning documents.
