This system is designed by keeping in mind both parties like visa processing officers and applicants. System allows applicant to apply for visa, Form etc. 5.1.1 Scope This Online Visa Application, can easily be used in process of applying for visa and visa processing system allows the applicants to easily apply for visa's and finally it provide more flexibility to applicant's like the amount of time is. Project looks at facilitating this tasks by automates this process. In the current context applicant are found in to carry large amounts of files required in the visa application process, they often need to wake up every and stand in long queues. Other than that, with so many paper entries, keeping track of applicants' information causes organizational and storage. This information system provides a solution to these problem by providing a platform which simplifies the above-mentioned processes, while keeping the users notified about their application's status. 5.1.1.2 Objectives of the project . . . . To develop a central database; To automate the visa renewal, application and extension; To provide an online platform; To allow electric submission of documents; To provide online forms; To facilitate the authentication and validation process; Provide visa application status. . 5.1.1.3 Deliverables A web-based software system, which contains a central database and functionalities for various stakeholders. Since many stakeholders will use the system, different GUIs will be provided to different users. Therefore, each use will have their purposeful interface. 1. Prezi When the author had to visualize the process where the customer brings the documents to the reception desk, and where his/her application is located after. One of the tools that helps to make visual presentations and the author personally finds very attractive for viewers is Prezi website. 2. Skype After the required business process was analysed and described, and after the project manager found out for herself the weak points of it, it is time to present the problem to the project team. Since the team is virtual and the members are located in different countries, the presentation is always virtual too. At this step the team had conference calls. The tool used to perform the call was Skype. This instrument allows the group calls, and also provides group chat and the ability to share the screen of one of the team members at a time. 3.Google Calendar The time of the call is arranged by the project manager using Google Calendar. This tool automatically considers the time difference and sends notifications to every member. Each group member can see the correct time for his/her own time zone. There are two options, when the member receives the invitation to refuse or accept the invitation 4.Google Docs After the group call time is confirmed the team members meet in Skype on the right time. The project manager presents the result of the analysis and her suggestions. Other mem-bers of the team make their suggestions too. The project manager keeps the meeting minutes. Google Docs is usually used for writing minutes because it is free of charge, it allows to save the documents in the cloud service and also to share the document with other members of the team. All members can edit one document at the same time. This is a great feature, because all the decisions made during the meeting can be written down, checked right away by other participants, commented and corrected if needed. 5.1.1.4 Project benefits Cost savings: Because the whole process is online, logistics are simplified and streamlined. No more face-to-face appointments at a visa office, where a government employee manually inputs data onto the system and scans documents provided by the applicant. Besides, once approval is granted, such a system eliminates the need to print a visa sticker and return the document to the holder. According to the World Bank over six months in 2014, Moldovan embassies saved between 12 and 14% of working time as a direct result of the introduction of eVisas. Providers also stand to make significant financial savings by doing away with visa stickers. For example, in 2013 alone, European countries issued more than 16 million short-term visas, at a total cost of 10 million Euros. . Time-saving process: For applicants and government authorities alike, time and money are wasted on clumsy and frustrating paper-based systems. A traveller applying for a visa has to fill out the necessary paperwork and then either send it back by mail or physically take it to the destination state's local embassy or consulate. The embassy or consulate will then process the request, review the documents provided and send the approved visa back to the applicant. With eVisa, requests are submitted via a secure application portal which can be accessed 24/7. 1 Revenue boosting: Get more fees, more visits and more jobs. Legislation usually enables the collection of additional processing fees for eVisas. This can be up to 20% more than the charge for a traditional one, covering the costs of operating and maintaining the portal and management system. Besides, the introduction of a more convenient visa application process can stimulate both tourist and business travel: The World Travel and Tourism Council, in its 2012 report ( The Impact of Visa Facilitation on Job Creation in the G20 Economies), highlighted a potential increase of over 15% in overseas tourist arrivals as a result of visa facilitation programs, generating a rise of up to 20% in traveller spend in the destination country, 9.
