Questions:
1.Explain in detail how the theories relating to communication in general and more specifically to non-verbal communication, impact the effectiveness of electronic communication (i.e. email, text, etc.) as a communication medium within organizations. (10 marks)
* Theories of communication
The theories relating to communication in general and more specifically to non-verbal communication impact the effectiveness of electronic communication (i.e., email, text, etc.) as a communication medium within organizations because non-verbal cues are used to convey meaning or information.
Overall, non-verbal cues are considered a vital component of human interactions, and they can be extremely beneficial when used strategically in the workplace or in other situations. Researchers and communicators have found that non-verbal cues can be used to express underlying emotions, intentions, personality, and even messages of deception since such gestures can strongly affect the receiver's perceptions. Non-verbal behavior can also be used to complement vocal messages, to confirm verbal messages or even to replace them. Non-verbal communication has been a significant factor in understanding how humans behave and how humans interpret the world.
Non-verbal behaviour can be divided into three distinct parts: body language, paralinguistics, and proxemics. The theory of body language states that non-verbal behavior is the communication of internal thoughts and feelings through bodily actions, including facial expressions, hand gestures, posture, and tone of voice. Body language is an unconscious way we communicate with one another through gestures and movements that often reveal more than words.
The theory of paralinguistics states that the communication system involving sound and voice is not limited to language use but also includes facial expressions, facial gestures, tone of voice, and posture. Intone and rhythm of speech as well as the listener's interpretation of the message as he or she understands a message Non-verbal communication also includes paralinguistic cues such as speaking style, speed of delivery, volume, and tonality scales.
The theory of proxemics suggests that non-verbal behaviour is an unconscious way we communicate with our four basic personal distances (a distance between ourselves and another person) in social situations. Proxemics include the distance from an individual to a group, from a group to another group, and from a group to objects. Informing others about our personal distance is simply an unconscious response that helps formulate appropriate social behaviour.
Research has demonstrated that non-verbal cues are associated with many aspects of human communication, including the ability to communicate in groups or one-on-one, the communication of feelings and emotions, fear, credibility, attitudes, and speech patterns. Several research studies have shown that non-verbal cues are directly related to our thoughts, feelings, and opinions, as well as how we communicate them. Non-verbal cues have been found to affect decisions on trading activities such as buying and selling stocks in either active or passive investment decisions.
2. Describe communication situations in an organizational setting, where you think email should be used and where email should not be used as the primary medium of communication. Explain your answer. (10 marks)
* If there are sensitive topics that need to be dealt with, email should not be the primary medium of communication. It is better suited for more general topics and less sensitive issues.
It is common knowledge that email has been the default form of communication in the workplace for decades now. Communication is vital if we want organizations to function effectively; it's time to rethink this old hot potato and see what else we can do instead. There are many ways to communicate in the workplace in the 21st century that do not rely on email. Face-to-face communication, telephone and video conferencing, for example. When you think about it, email is not the most natural medium for communication; it's very slow and impersonal. Email lacks a human element; you cannot gauge someone's voice inflection or body language when exchanging emails. In addition, emails can be easily lost or forgotten.
In conclusion, we should not rely on email as our primary medium of communication any longer. We should start using more efficient methods of communication online and face-to-face if we wish to have a modern organization that functions effectively.
3.document that Wilson Brothers specifically would use to establish guidelines and norms for the organization with respect to the use of email, and any other electronic communication medium, for internal and external communications. Make recommendations on what to do and what not to do. Explain the reasoning for your recommendations. (10 marks)
* I will use quotation marks around the word "communications." I know that we do a lot of communication as in email, phone calls, and meetings. So I will refer to this as communication. I will use acronyms such as e-mail, SMS, Facebook, etc. There are other acronyms, but it is important to know these so you will have a good understanding of what they mean.
I have identified that we have an email policy at our company (the company name). This policy has been implemented, but I am seeing changes in how we use email now. In the near future, these changes will impact how we communicate with other parties.
I need to stress that this document is not a rule book. I am just trying to understand the reasons why people do certain things and why they do not.
Use of acronyms: I need to talk about our use of acronyms because there is a trend now to eliminate them. We will start by defining an acronym, then explain the meaning and use of it, i.e., the acronym email.
If you cannot understand it, then you do not need to use it. It is more important that people know what it means.
I am not trying to be prescriptive here. This is just my understanding of communication in general, and how I think we can make changes within our company to improve how we communicate electronically using email, among others. If you disagree with me, then so be it, but I wish for us to all understand what I am trying to achieve here and work together towards achieving this aim.
The use of acronyms is becoming so common that some of us cannot understand what they mean. If we cannot understand it, then we do not need to use it. It is more important that people know what it means. In the past, our company adopted the practice of using acronyms and abbreviations, but with time I have seen that there is a trend now to eliminate these. It is easier to articulate in words instead of using the acronym.
Sub-points: Eliminate the use of acronyms and abbreviations: if you cannot understand it then do not use it. It is more important that people know what it means.
In the past, our company adopted the practice of using acronyms and abbreviations, but with time I have seen that there is a trend now to eliminate these. It is easier to articulate in words instead of using the acronym. I have seen this before, but I do not think it was communicated to all employees because we still use some of them. But in my opinion, this should be done as soon as possible so we can communicate better and understand each other easily. Impact of avoiding use of acronyms
Avoiding the use of acronyms in official email messages will help reduce the chance of misunderstanding. This will be highly beneficial especially when it comes to clarifying matters discussed in meetings and/or in emails.
