With the growth of the company, Pauline has hired some IT staff to help support the new technology being put in place. So, she has hired Perry to started working for Marios as the new IT Systems Manager. He doesnt have a large staff, but was allowed to hire a Help Desk Analyst and a Network Administrator, both part-time. So far, the new IT team has really enjoyed the family like atmosphere of the workplace.
Perry has found Marios have little, or no, security or oversight into their technical operation. Many of the staff have administrator level access to their work Computers. This granted them full privilege to install software and manage the settings on their PCs. While complex passwords were required, many had written them on sticky notes stuck to the monitor or keyboard. In addition, all locations have a general PC for staff to access, and all staff shared a general user account. Once logged into the computer, they had access to all human resource and accounting files on the main file server.
About 2 months into the job, things seemed to be going well for Perry and the IT Team. Early on a Friday afternoon, just as Perry was wrapping up to head home (maybe a little bit early for the weekend), he received a call from Yoshi, the Accounting Manager. Yoshi was very upset, he had left his briefcase at a restaurant, and wasnt able to find it. The briefcase contained his laptop, along with some confidential papers. The laptop contained the financial records, business plans, and bank account numbers for Marios Coffee. The Accounting Manager had called the restaurant, but the laptop was gone. Yoshi then told Perry his computer password was on a sticky note inside his briefcase. Not the best way to start a weekend!
About 30 minutes after the call from Yoshi, the Marketing Manager, Rosalina, called. Recently an employee has started posting disparaging remarks about Marios Place on Reddit. Rosalina found the posts and has just warned Pauline that customers have been responding to the post. Both are concerned that the posts are giving the wrong impression of the coffee shop and its staff. Some of the posts include remarks about staff members that were highly inappropriate.
After Perry got off the phone, he rallied the team to start working on the laptop problem. But, the phone rang again. Rosalina again. This time, she discovered Tweets being sent out using the corporate Twitter account, the texts are context aware (obviously not a bot!). So, Perry quickly tried to access the account, but the 2-factor authorization had been turned on for a phone that is not within the organization. In addition, several customers have started calling the main line, saying that they have received a text from the store phone number requesting personal banking information.
Perry sat back and sighed, his plans for a weekend away from work now a bittersweet dream. Oh well, at least he could head out front and quickly get a great coffee before getting back to work on the laptop, blog, twitter, phone, ahhhhh!
Part 5: New POS & Accounting System
Pauline has made three decisions based on recommendation from consultants and her staff. Firstly, she has decided to move forward to purchase the Sage 50 Cloud Accounting software package. This provides the local install of the accounting software that Yoshi, Accounting Manager, wants, and also provides cloud access to the information that she wants. Second, to ensure data is backed up, she has purchased Office 365 for the company. With the purchase of Office 365,1TB of cloud synced data storage in OneDrive is included. Finally, Pauline decided to proceed with a Point Of Service (POS) system designed by a friend. It is still in development, but she is confident that her friend will be able to deliver on what she wants. Pauline has tasked Perry, IT Manager, to coordinate the deployment of both products.
The POS system is built by a local startup, and it features easy-to-use touch screen order entry, a centralized product catalog, and works on both Windows and iPadOS tablets, there is no Android version at the moment. The developers have met with many of her service staff to discuss their requirements, asking who created and manages the menu, then learning how an order was placed, and how an order was processed after it was taken. They worked hard to ensure the service staff requirements were met. After their initial visit, they confirmed that their system will be ready in 2 months.
