Write verbatim (word for word) every email, memo, or voicemail you use in communicating with the VP, the President, the personnel, the clients....or anyone else. Congratulations, Lee, Im sure youll be challenged in your new position. I hate to burden you with the dirty laundry in your first week, but I think its important that you get in on this. As you know, copiers, scanners, and faxes seem to be in very short supply and it is difficult for any of us to try to meet the delivery dates requested by customers. Tracy Scott and I are fed up with Tom Radcliffe getting preferential treatment from supply and distribution. We feel it is time to confront the problem and restore fair distribution of supplies and products. Thus, we have scheduled a meeting with Chris Firestone on October 22nd to discuss the matter, and in the meantime, are sending a memo that outlines our frustrations. Kelly Parker was in full support of our claims.

We think it is in your best interest to join in the complaint, so we have replaced Kelly Parkers name with yours as co-author of the memo. If you have any problems with this, please let me know. Otherwise, Ill send the memo on Monday, October 13, and we will continue with the meeting on October 22nd. Tracy and I are confident that Firestone will put a stop to the situation.

Content of memo to be sent to Chris Firestone from Kim Lee, Tracy Scott, and Lee Smith:

After conferring about some recent problems with getting equipment from supply and distribution, we have reached consensus that the system in place needs your attention. Since the push to decrease inventory costs, we have all made an effort to make purchases from Supply and Distribution only when we have customer orders. As a result, we must depend on quick delivery, particularly on rush orders.

Well, each of us has experienced the following several times in the past few weeks. Our customer service representatives place an order and later get a call from S&D saying that that order cant be shipped because Tom Radcliffe has made an emergency request. So we end up with delayed deliveries and an upset customer.

Although we realize there will be times when we cant get what we need right away, we are concerned that Tom Radcliffe is taking advantage of his close proximity to and relationship with Mike Kowalsky to get preferential treatment. His orders for parts and equipment consistently take priority over ours. Please do something about this.
