Q Ltd is a successful company which sells computers to personal and business purchasers. The company used to operate a structure where each sales representative was responsible for his or her own customers, with commissions being paid on all sales made. Representatives maintained their own databases of information to which only they had access. The system worked well; the only complaint from customers was that when their sales representative was not available, information about their particular requirements could not be obtained. About a year ago, it was found that some orders were being lost to a major competitor because customers were refusing to wait for their sales representative to be available to provide information before an order could be placed.

Six months ago Q Ltd implemented a new Information System based on a company-wide Intranet. The system was designed to enable all sales representatives to share information on customers; the main aim of the system was to enable any representative to access any customer’s details, and so limit the loss of orders.

The system was implemented after obtaining user input to try and ensure that the system was appropriate to the needs of those users. However, the system was implemented in a hurry, so final user acceptance and validation were not possible. In fact, some last-minute changes were made by the programmers who made the programs run faster on the computer at the expense of some user-friendly interfaces. Because of scheduling problems with annual holidays, most users also missed being trained on the new system.

Unfortunately, the system was not particularly well received by the staff. In fact, six months after implementation, it is rarely used and most representatives have reverted to using their own individual databases.
