This is Covid free project Project Management Team Project Manager - you Project Owner - Night Moves Project Sponsor & Client - Events UK Ltd Location The location of the event is Finsbury Park London N4 1EE Originating and Warehouse locations, plus vehicles to be used for each collection and drop 1. Swains Rochester Kent ME2 2BD - Various items - 2 x Curtain-siders required 2. Swains Manchester M28 1DP - Various items - 1 x Curtain-sider and 1 x flatbed 3. K&N Reading RG2 0TH Catering provisions - 1 x Refrigerated 4. AKW Birmingham B8 2SE Various items - 1 x Flatbed Project Dates Start - 1 April 2022 Event - Saturday 27 th and Sunday 28 th August 2022. Finish - 12.00 pm Thursday 2 nd September 2022 Set up, take down / access dates and times Site access is only available Monday 21 st August to Thursday 26 th August - from 6.30 a.m. - 10.00 p.m. Friday 26 th August - from 6.00 am until 11.00 p.m. Saturday 27 th August & Sunday 28 th - no site access at all Monday 28th August to Thursday 2 nd September - from 6.30 a.m. - 10.00 p.m. Site access Access to the main site is only via the site delivery entrance on Endymion Road. N4 1EE No access via other routes or entrances is permitted. Vehicles must be signed on and off site, by Events UK security staff at the main gate. There is limited site space so delivery / collection will be staged in 60-minute intervals to avoid too many vehicles arriving at one time. A maximum of three vehicles are allowed on site at one time. However, if the client cannot unload or load the trailer in time, it is their responsibility, not yours and you might need to take this into account in your plan ..... Load details The loads consist principally of pallets, large boxes, large structures, flight cases, and other large single items. Loads are carried using the following vehicles. You do not need to worry about this. Vehicle requirements Vehicle requirements are anticipated and planned as being: 3 x curtain-side trailers - two of these trailers remain on site for the duration of the event. The other is unloaded and leaves site to do other unrelated work outside the scope of this project. 1 x refrigerated trailer - this trailer remains on site 2 x flatbed trailers with integrated crane All vehicles are articulated lorries i.e. they have a separate tractor and trailer unit. All vehicles when collecting from the originating warehouse site before the event, will, prior to arriving at their respective warehouse have undertaken other unrelated work that is outside the scope of this project All vehicles when delivering to site ahead of the event, will, when they have unloaded and leave the site go on to undertake other unrelated work that is outside the scope of this project All vehicles when collecting from site after of the event, will, prior to arriving at the site have undertaken other unrelated work that is outside the scope of this project All vehicles when delivering to the return warehouse after the event, will, when they have unloaded and leave the warehouse will go on to undertake other unrelated work that is outside the scope of this project Where trailers remain on site only the tractor units and their drivers leave site and DO NOT stay with them. At the event site, all vehicles are loaded / unloaded on-site staff except the flatbed trailers which are unloaded / loaded with the integrated crane which is operated (only) by the driver, or alternatively they might be unloaded or loaded by the event site staff using their own fork-lift trucks. At the originating / return warehouses etc., vehicles are only loaded / unloaded by fork-lift trucks operated by local site staff not the driver, even the flatbed trailers. Drivers are responsible for overseeing the safe loading and unloading and securing the loads on each trailer at each location Costings All costs are based on a mileage rate and the day rate for those trailers that remain on site which are charged per day. An additional waiting charge may also apply. Details are in the costings sheet that will follow. Costs include All vehicle costs include diesel fuel, maintenance, insurance, tolls etc All driver and office costs include drivers' salary, expenses training etc. No other staff costs are required. You do not need to cover any other staff costs Project costs (except for trailers that remain on site) are only incurred for set up from the time each vehicle arrives at the originating warehouse until it leaves the event site, and from when the vehicles arrive at the event site following the event until unloading is completed at the respective return warehouses
