Two types of employees are relevant for TAMEs revenue cycle. Mouth experts include dentists, dental hygienists, dental assistants, orthodontists and oral surgeons. Mouth experts perform all mouth-related procedures involving patients in other words, they provide all mouth-related services. Receptionists handle all other revenue-process activities, such as scheduling appointments and processing patient payments. Because TAME charges prices that insurance companies consider to be higher than reasonable and customary, TAME does not accept any insurance plans. Cash must be paid before any services are performed for a patient. Occasionally during the provision of a scheduled service, the dental worker will discover a need for additional services that need to be done immediately; with patients agreement, such emergency services are provided right then and customers are billed for the additional services with payment to be made within a certain amount of time. For example, a patient may come in for a scheduled filling for which he has prepaid $300, only to have the dentist upon drilling out the tooth in preparation for the filling find that in fact the tooth needs a $1,000 crown instead of the filling. The patient signs an agreement to have the crown preparation done and a temporary crown inserted immediately with payment of the $700 difference to be made within 3 weeks after which time the permanent crown will be inserted.

Patients call TAME to schedule appointments for the services they need. Each appointment is for only one patient if multiple patients plan to come in at the same time, each has a different appointment. When a receptionist enters the appointment, along with entering the related patient and the type(s) of service(s) to be provided, he or she also specifies which mouth care station will be used for the services. The receptionist informs the customer of the estimated charge for each of type of scheduled service along with the estimated total amount. Each appointment will be completed in exactly one station. Interestingly TAME does not assign specific mouth experts when the appointments are made, but instead each morning reviews the appointments for the day and assigns appropriate providers thus, the mouth experts are tracked for the service provision (kept appointment) but not for the scheduled appointment. A mouth care station includes all equipment needed for the procedures to be performed, such as a reclining chair, drills, sink, water pump, etc. Mouth care stations may be entered into the database before assigning equipment to them. Immediately upon purchase, each piece of equipment is tagged with its assigned stations identifier along with its own unique asset tag number and is then entered into the database. TAME keeps acquisition cost and date information for each piece of equipment along with the estimated useful life of the equipment as of the date of purchase. For example, drill #14, which was assigned asset tag 45327 and was purchased for mouth care station #5, was acquired on January 2, 2013, at which time it had an estimated 6 year life and a cost of $800. Occasionally when a patient calls to schedule an appointment, none are available at times that work for the patient. No record is kept of such calls or of any other inquiries.

If the scheduled mouth care station is unavailable when a patient arrives for service, either because of equipment malfunction or because emergency services are being provided in that station for another patient, the scheduled service may be moved to another available station, and TAME will track which station is actually used for the kept appointment. A mouth-related service may include the use of one or more materials such as fluoride, toothpaste, or amalgam; quantities used for each type of material will be tracked for each kept appointment.

TAME wants to be able to enter data about all people and resources before entering any related activities into its database.
