This exercise focuses on using an Indirect Strategy to respond to someone. The passive voice can also be combined with a dependent clause to place emphasis on the reasons for, or alternatives to, the bad news. Now it's time to use these techniques with an indirect strategy message.
Instructions
Read the Scenario below.
Review letter and email for this scenario.
Make an outline for responding using an Indirect Strategy.
Scenario
The Director of the Pilot Training School, Lionel MacIntosh, and Coordinator of the Ground School, Cindy Baker, had a meeting that they asked you to attend where they discussed the issues they have been having. There have been some issues with parking and drop-offs at the Operations Centre for the Region of Waterloo International Airport.
There is a drop-off area and parking for the Ground School, where students learn the dynamics and regulations for flying, and a separate drop-off and parking area for the Airport Pilot Training School, where students learn to fly and take lessons flying. Both schools are located in the Operations Centre. Because students can fly planes before the age of 16, some of the students are driven to these schools by their parents.
While attending the meeting, you were asked to take notes. Below are your rough notes from the meeting that summarize the comments made at the meeting. The Director has asked you to make a letter that will he send to students who are enrolled in the college.
Notes about the Letter:
Use a letter format
The letter should be from YOU
the address for the school is
75 New Germany Lane
Breslau, Ontario N0B 1M0
Because it is a form letter that will be sent to all students in the Airport Pilot Training School and the Ground School based on a mailing list database, use the following to placeholders for the letter you are writing. A mail merge program will replace the placeholders in the letter with the information from the mailing list database:

Dear Firstname,
Your Meeting Notes
Problems have been occurring lately with people attending the school parking in the wrong spots.
Rules are designed to keep everyone safe, and keep the traffic flowing.
The four spots by the front doors of the Operations building are for Ground School pickups and drop offs only.
Another problem is with the people attending the Airport Pilot Training school parking in the Ground School lot. That is not allowed because the lot isn't big enough.
If people keep parking in the wrong spots we are going to have to ticket them
Those who are attending the Airport Pilot Training School should use the school parking lot located on the north side of the Operations building. There are signs directing people to the correct lot.
If people picking up Ground School students are staying longer than 10 minutes, such as for a Ground School activity, or a meeting with the staff, they need to park in the south lot next to the Operations building.
It's getting dangerous and don't want to see a student hurt.
The maximum time to wait in pick-up and drop-off area the is 10 minutes. Meant for pick-up and drop-off only.
There is a drop-off point for people dropping off and picking up students by the Airport Pilot School at the side doors on the north side of the Operations building if they are staying less than 10 minutes.
