Introduction

Motivating and inspiring employees is crucial for the success of any organization and is a key skill in leadership. The morale of the workforce is improved greatly, and their performance is at best when there are motivated. Workforce that is motivated have the sense of purpose and are more likely to have a self-drive to achieve more, put more effort in their work without supervision to achieve both the team and the individual's objective in the organizations.

Effective communication is one important aspect in a workplace, more important it becomes when the object is to inspire and motivate employees in the working environment and an open and respectful communication is the key to achieving this.

Effective communication

Effective communication is key to motivating and inspiring employees. Currently the department or service is seating with almost 100 employees who are demoralized and demotivated. Negative employees who do not fully understand and comprehend the mission and vision of the department. These employees are not made part of the decisions in their workplace, the decisions that actually affect their lives and daily operations that have to be carried by them to deliver the objectives of the organization successfully. One main problem causing all the above-mentioned challenges, is lack of communication. Members believes that communication in the department is only in one-way directions which is only downwards to employees however their concerns and comments are not considered or cannot reach the management to be discussed and have mutual agreement reached for the betterment of the workplace for both the management and the rest of the employees. The relation between the management and the workforce does not exists, where one is found, is a very toxic one which ends only in disagreements due to lack of understanding of the mission and the vision of the department.

Communicating effectively to motivate employees requires strategies that are focused on building authentic, respectful relationships, helping employees build confidence, and removing obstacles to doing great work. The strategies which can help leaders ensure they are communicating effectively are but not limited to build trust, demonstrate empathy, engage in active listening, exchange frequent feedback, support belonging, ask the right questions, provide clarity about goals and expectations of the organization,(Tenney, 2024)

Effective communication is one most important factor that can eliminate all the discomfort and misunderstandings in the workplace. If the management have the vision for the organization and the objectives are set to archive this vision, they need and must communicate these with the workforce. This communication will kill the ambiguity, will make the workforce understand why certain decisions are made, easy and hard decisions at times, and most importantly workforce will feel as part of the organization and will own the goals that need to be achieved in order to achieve the vision and that gives them sense of pride. In 2024 the are proven vast communication modes that can be used to achieve these objectives i.e. virtual communications both formal and informal (emails, MS teams, WhatsApp). During Covid19 pandemic these virtual communications modes have proven to work and actually can achieve this effective communication goals much efficiently because they can be very informal and conducive for all levels in the organization.

Inconclusion

Effective communication is one most important tool to use to affect the motivation and inspiration amount the employees in the workplace. When managers and employees share the same vision with the employees, they will be able to work together in harmony to achieve the objectives towards the shared vision successfully. When employees of the organization are motivated and inspired, achieving the goal becomes possible and there is minimum conflict in the workplace.
