Customers send car orders to the company's order system. Approval of orders is dependent on customers adhering to pre-agreed payment terms. Rejected orders are recorded in the customer data file, forming part of their credit history. At the same time, the order system prepares and sends a 'rejected order note' to customers to notify them that their order was unsuccessful. However, for each order that is accepted, the order system sends an invoice to customers. In addition, the system generates and sends a 'pick list note' to the company's warehouse. Orders are processed once payment is received. Customers send payment of their orders via electronic funds transfers or direct deposits into the company's bank account. From time to time, customers send emails to the company's order system to enquire about if their payment came through. Because each order is handled by a specific sales representative, the company's order system issues a sales commission to the sales representatives for each sale they make. The order system also generates a sales report for management. Further, the order system transfers all electronic funds from customers to the bank.
