With the project deadline coming in just a couple of hours, Amelia is now at the final stages of her task. She now needs to communicate with her manager in order to finish her project. However, due to time pressure, she was only able to notify her manager much later than recommended. She sent an email to and prepared quickly for the face-to-face-meeting.

Once the meeting started, Amelia started as she presented her work well as she speaks at a calm and steady rate. However, the manager continuously thinks of a response and kept interrupting by asking question after question, and not letting her finish. Her speaking had become evidently too fast for a moment, but she was able to quickly recover. Her usual sturdy posterior proved her confidence. She was obviously in a controlled state as her body movements while presenting are natural and relaxed; slightly affected as the manager was distracted by a few phone calls. Her facial expressions and body language have now given way for the manager to understand the status of the situation, as it shows she is clearly focused and determined to finish her presentation without even saying a word.

The manager was convinced, cuts the phone calls, and took the meeting more seriously.

Answer the following questions based on the scenario above.

  1. What are the verbal communication used?

2 What are the non-verbal communication skills observed?

3 What are the receiving feedback mistakes observed from the manager?

Polygon Manufacturing is now having its semi-quarterly budget review as a means for the production team to raise inefficiencies or concerns with its stakeholders. The production manager was quick to detect several objectives during the review.

The company has been consistently performing well in consideration of its planned value (PV). The company allocated a budget of $100,000 with the hopes to cover production costs.

Based on current data, the earned value (EV) stands at $75,000, meaning that the project is 75% complete. Considering these figures, the rest of the team agrees that the actual cost of the project can still exceed the planned value. The unforeseen rise in production costs, along with management practices contributed to additional expenses. Utility expenses have also significantly increased, prompting immediate action. The actual cost (AC) was estimated be currently at $85,000.

To reduce costs or deliver the project below the planned value; the project management instigated a budget adjustment process. It has been concluded from company records and reports that there is a need for correction. Because of increased expenses of production materials and cost, it was confirmed that the approved budget was estimated to low and needs urgent approval for the change.

After the process, crucial budget adjustments were made. This resulted in improved cost management, accurate project expenditures, timelines, and alignment to the scope of the project plan.

Answer the following questions based on the scenario above.

  1. What are the Earned value management (EVM) monitors used?

2. What are budget management process was used?

3. What is the importance of developing cost management strategies and processes?

Question 3

SCENARIO

Note: For the purpose of this assessment, the project name is Product Proposal, today is 12 May 20xx, where 20xx refers to the current year. The lessons learned document no. is 5. The proposed name of the lesson learned is cost management improvement. Your project role is team manager.

The product development team of Crop-Up Farms is thinking of proposing a brand-new product to be added to its current roster of high-selling natural fibre drinks. You as the team manager, together with your skilled members, are studying a low-calorie drink product that could compete well with other brands.

To make a budget proposal for the proposed product, the team used the cost-estimation methods organisation. According to the computation, the project estimated cost of manufacturing is $17,000 for the first 3 months of operation.

The management was not convince, however. The project would be a huge investment and you are asked to study the estimation further. It was recommended that after using the organisations' cost-estimation and budgeting technique, we could have used another one.

For a more accurate report, it was suggested to consult the opinion of subject matter experts who have been already manufacturing a similar product. Applying these techniques could reduce the estimated project cost up to $14,000. This drastic reduction of the project budget might have been enough to capture the interest of the company.

As of now, your team's previous proposal is still being studied indefinitely. Everyone is now studying the use of other cost-estimation techniques in the hopes to lower the project budget.

You are now tasked to summarise the situation experienced and solutions put in place on a Lessons learned document.

Below is the Crop-Up Farms Lessons Learned template. Complete the template below using the information provided in the scenario.
