You are a project manager for a software development company who recently launched a new suite of software for sale to the industry. Your sales department identified a potential customer who is interested in purchasing this software. Your sales manager asked you to schedule a meeting between your organization's team and the customer's team. The customer will send a group of business stakeholders and a group of stakeholders from their IT department. You need to organize a half day in-person meeting that includes internal and external stakeholders, where you group must achieve multiple objectives:
1. The sales manager needs to:
o Introduce your company.
o Introduce the features and benefits of this product.
o Explain the typical return on investment.
2. The customer's team is to present their business requirements.
3. The sales support technician needs to
o present a demonstration of this product.
o Present the technical requirements for this software implementation.
o Address how the software will satisfy the customer's requirements.
4. The sales representative is to:
o Present the business case for the customer to purchase your software.
5. You, as the project manager, are to:
o Present a tentative implementation plan, should the customer want to move forward with this implementation, assuming August 1st contract acceptance.
o Communicate the resources that will be necessary for a typical implementation.
6. Leave time for questions and answers.
Note that this document is only an agenda.
The meeting is to be scheduled for the middle of June.
The agenda must follow the basic agenda writing conventions and must include all the information that would allow your stakeholders to determine who to bring with them and what information to prepare for the meeting or provide ahead of the meeting. Make sure you have a time schedule and allocate specific time duration to each of your presenters.
Additionally compose an email to all the participant announcing this meeting and include any necessary requests. The email should be in proper email structure (appropriate subject line, salutation, opening statement, main body, closing statement, and signature). You should make up any additional information relevant to this scenario, such as who your company is, what product you're selling, who your client is, and the names of specific people involved in this meeting.
Research:
Perform basic research on how to properly structure a Meeting Agenda document.
Use three (3) relevant sources. If you're unsure about the appropriateness of the topic or your source types, then ask the instructor before you begin. Your references should be on a separate page at the end of your agenda. You can invent any information or assumptions that are not in your research or in this rubric. The email should be on page one of your submission.
