Hi there,I am a new manager of Consulting at our company, Weiser LLP, and I have been assigned the complex task of writing to you to inquire about our next Consulting conference. Every three years all members of Consulting departments in all Weiser branches in Canada (Toronto, Calgary, Vancouver) meet to exchange best practices and benchmark future success. This year we hope to have the conference in BC where we would like to find a resort with conference facilities, which is why I am writing to you so you can talk to Vancouver Hilton. It is your job to book conferences for our company. We need you to send them the specifications.
We are interested in banquet facilities where we can all be together, however, we will also need at least four smaller meeting rooms. Each of these rooms should accommodate about 15. We hope to arrange our conference March 7 through March 9, and we expect about 30 employees from Consulting in Weiser branches across Canada other than BC. This is the major internal event for this department, and I am hoping their hotel can meet our expectations.
Most of our employees will be flying in so we are interested in what airport is closest and transportation to and from the airport. The 15 or so Vancouver members will be seeking their own transportation. Some may decide to stay at the hotel for convenience during the conference. Can we get more guest rooms for them, the exact number to be finalized soon?
Find out if the Vancouver Hilton has public address systems in the meeting rooms. We also need audio-visual equipment and computer facilities for presentations. Do they have that? I have heard some criticism from people who have used this hotel in the past, so I am hesitant. We were recently ranked 18 on the Clutch list of top 100 small accounting companies. We have also conducted a survey with company employees, the results show the employees opinion of the company. We may not have the resources of the big four, but we believe we can do more to improve our score with employees. For this reason this conference is very important. Tell them to get on this right away so we can know quickly if we can use them.
