We have received directions from the top management to reduce operational costs. Thus, I have an idea of replacing one of the current manual operational systems (claiming and validating events expenses). Our organization's employees often participate in external events, and they have to claim and get the expenses paid into their payroll. Thus, I would like to automate the whole process. Each employee in the organization has a username and password already stored in the database, so I would like them to connect to the web-based system using the same username and password. After login to the system, the users must first select the event type (conference, Training etc) and the location from a pre-defined list. Then select the currency of the invoice, input the amount and upload the invoice. They must be able to upload as many scanned invoices as they wish. Then, the system should auto-calculate the total amount and send the whole application and the employee's justification to the direct manager, who must either approve, disapprove or ask for further info. If the application is approved a request with the total amount to be paid in the employee's next payroll must be sent to the payroll manager, who must close the case in the system once the money is paid to the employee. In case of requesting further information, the application will be sent back to the employee to be completed. Otherwise, a rejection notification will be sent to the employee through email. Employees should not be able to see other employees' requests and request status, and the system must be easy to use by any employee. It is very important to know the exact budget. I expect to either lay off or move the current two employees to other duties, and their salaries are on average 30,000 AED/Month.
