A University Graduation Processing System (UGPS) is needed to check if a student can qualify to graduate. The system should also process all the activities associated with the graduation ceremonies. A student needs to be given the clearance to attend the graduation ceremony. The student must go to student administration to check if he/she can qualify to graduate. The student must provide verification of his/her student id, name and faculty. After this check, the student is provide with a response. If favorable, a graduation request s generated for the student. This graduation request has to be entered into the system. There are many different graduation ceremonies, but the student can register for only one ceremony. When the registration process is completed, the student's graduation details are stored in the system and a graduation notice letter along with the gown rental forms are sent to the student via email. The student must complete the gown rental form and pay the rental costs at the bursary. A receipt with the receipt number, student id, amount paid and payment date is generated and returned to the student, in order to collect the graduation gown. The necessary files are updated to reflect the student's gown rental payment. The student presents the receipt when he/she goes to fit and collect the gown. The system is updated to reflect the gown assigned to a student. The student then collects the receipt and gown for the ceremony. After attending the ceremony, the student needs to return the gown and collect the refund cheque. If the gown is damaged, the cost of repair is deducted from the security deposit of the student's initial payment. The student has to return the gown and receipt on demand to collect the refund cheque. The system is updated to reflect the return date of the gown and the refund cheque given to the student. The student is asked to verify that the name and amount on the cheque is correct, before taking it to the bank. Question #1 a) Discuss three (3) tangible and three (3) intangible benefits to developing the UGPS. b) How can operational risks of the UGPS affect the strategy used to implement the system? How can the operational risks be mitigated? c) The amount of technical risk associated with a project is contingent on four primary factors: project size, project structure, the development group's experience with the application and technology area and the user group's experience with the application and technology area. How can we apply each of these factors in assessing the technical risks associated with UGPS? Question #2 a) In eliciting the requirements of the system, observation and document analysis were two of the many techniques used. Compare these techniques with regards to time, confidentiality, involvement of employees, expense and information richness. b) Can prototyping be effectively used to gather requirements for this system? Explain. c) Explain how evolutionary prototyping can be used in this case for the UGPS. A University Graduation Processing System (UGPS) is needed to check if a student can qualify to graduate.
