However, the recent World Athletics Championships in Eugene, OR was her last competition. She is now committed to helping athletes and weekend warriors participate in their sports pain-free. She founded Felix Recovery to provide a variety of therapies and recovery technologies to professional and amateur athletes. This case describes the sales (therapy appointments) and purchases processes for Felix Recovery (FR).

Therapy Appointments. FR offers clients a variety of therapy and recovery treatments (FR calls them therapies). For example, each appointment could include several therapies, such as chiropractic treatment, physical therapy, cryotherapy, strength and conditioning coaching, massage, etc. In consultation with FR employees, clients select the therapies to be delivered in each therapy appointment. The price of each therapy appointment depends on the therapies included. When a client arrives for an appointment, FR assigns one of its employees, the lead therapist, to direct all that client’s therapies for that appointment. This responsibility only applies to the specific visit. Other employees may also be involved depending upon the therapies that the client selected for that specific therapy appointment. For example, the lead therapist may analyze client issues, but then other staff may perform massage, chiropractic treatment, etc. FR expects employees to provide the highest quality customer service and they plan to hold them accountable. Since any employee can be a lead therapist for a therapy appointment, they track who leads and who assists with each specific appointment as well as the number of hours each employee spends with the client.

Although some clients pay at the time of their visit, some sponsored clients pay at the end of the month for all therapy appointments during the month. FR tracks each client’s year-to-date (YTD) spending. FR categorizes clients by athlete type based on whether they are professional or amateur athletes in each sport.

Product Inventory and purchasing. FR maintains an inventory of products—such as sports gear, recovery equipment, and the various supplies— that they use in the therapy appointments. They record the quantity and cost of each product used in each therapy appointment as well as the total costs for each appointment to determine profitability. Some therapy appointments don’t use any products, but others use several products.

For planning, FR also tracks which products are used in which specific therapies, although some products are used in multiple therapies and some therapies do not require any products. For example, hot and cold packs may be used for chiropractic treatment, physical therapy treatment, etc. FR estimates the quantity and cost of each product used in each therapy to prepare cost estimates and decide what to charge for the therapy in therapy appointments.

FR buys products from many different vendors. FR records purchases by purchase number when they deliver the products, and they pay vendors in full within 30 days after receipt. Depending on timing, FR may issue one check to pay for multiple purchases from a vendor.

Other information. FR records information about therapies before they are offered in any therapy appointment. They use one bank account for both cash receipts and disbursements, but they have separate accounts for payroll, investments, etc. FR has a payroll service, so you don’t need to consider payroll in your analysis. They keep all the employee information in one set of records (one employee agent), and they don’t categorize employees by employee types. FR records information about all agents, resources, and type images before they are linked to other entities.
