Assignment 2Bad News Letter Refused Request
Situation: You stare at yet another solicitation from a well-meaning service organization. This
time it is from World Forum Bags, a local non-profit endorsed by various leaders in the city.
They are inviting your company, Samson Electric, to be a featured sponsor of their annual Save
the Earth Day. This event, their major fundraiser and publicity effort, has volunteers from all
over the city contributing. Your requested contribution of $10,000 will help pay for the
volunteer T-shirts, supplies, banners, and the dinner. Samson Electric would appear on the t-
shirts as a sponsor of the event should you agree to the sponsorship request.
While this amount does not sound like much for a successful business, you are a comparatively
small company that can afford to make only a limited number of contributions. This year, your
company is channeling its support into organizations that are helping those who have lost their or
their homes because of high property taxes. Many of your employees know such people, and the
general feeling in the company is that donations should go to such organizations as the local food
bank, and non-profits that assist those looking for employment. You have given over $30,000 to
such causes this year. This is all you can afford right now. And, these are the types of
organizations you will probably continue to select to support until the economy improves.
Your Assignment: You will write a letter to World Forum Bags chair (Chuck Brown) turning
down his request for sponsorship. Please write a letter in such a way that you maintain a positive
company image while also making clear that you will not become a sponsor now or any time
soon. Perhaps, you can think of something that will soften the NO(other options for the non-
profit).
Letter Format Requirements:
1. Use Microsoft Word.
2. Use Times New Roman with 11-point font for the letter.
3. Single space the letter (set Word to single space or use the no spacing style in the Word
dashboard). Do not use the default spacing.
4. Use a one-inch margin for the letter.
5. Select block or modified block letter format.
6. Create a complete letterhead for your company; this will entail creating a fictitious
address. Company letterhead includes company name, complete address and phone
number as just the minimum.
7. Create the rest of the inside address for Chuck Brown. Dont forget his title and
organization name in the inside address.
8. All letters, like memos, must have at least three paragraphs. You can have a one sentence
paragraph in business. Remember, that it must be a complete thought.
9. Turn the letter in as a WORD document in Canvas not as a PDF or Google Docs. This
needs to be a Word file. You will be graded on your use of Word in creating this letter.Company Name
Company Street Address
Company City, State, Zip Code
Company Phone Number
(This area can be 1-6 spaces, writer's choice based on the length of the letter - the longer the letter, the
less spaces here.)
Date (do not use slashes to shorten, spell out month - February 19,2018- then once space)
Name of person you are writing to (if available)
Title (if available)
Company (if business-based)
Street Address
City, State, Zip Code (then one space)
Dear Mr./Ms. Last name: (if writing to a specific person - can also use entire name without Mr. or Ms.)
The first paragraph identifies the type of letter by the information provided (good news, bad news,
persuasive all have specific needs for the first paragraph).(If you use black formatting - left hand justify,
single space, and one space only between each paragraph. Do not indent the paragraphs.)
Every letter requires at least three paragraphs. In the following paragraphs provide more information
and details for the reader.
Make sure you include a call to action or specific requirements if needed based on the reason for the
letter.
The last paragraph ends the letter - it is always forward looking and NEVER restates any bad news. It can
contain contact information or dates as necessary.
Sincerely, (this can be any number of terms - your choice)
(This space should be 2-4 blank lines for your written signature)
Your typed full name
Your typed title
Optional items on a letter:
C or CC (is to include the names of people who receive a copy of this letter)
BC or BCC(is to include the names of people who receive a copy of this letter - but the reader does not
know they have a copy - the BCC only goes on the senders copy of the letter)
