You have been hired as an ICT business analyst consultant for a small manufacturing company. They would like you to start by capturing and documenting their order-to-cash process. During process discovery, you interview the process owner, who provides you with the following information.
You: Let's start with an overview of how the process works
Process owner: Sure, the process is handled by two departments: the sales department and the warehouse & distribution department. When the purchase order is received by warehouse & distribution, it is checked against the stock. Thankfully, this operation is carried out automatically by our ERP system in warehouse & distribution, which queries the warehouse database. If the product is in stock, it is retrieved by the warehouse staff before the sales department confirms the order.
Sometimes the product is not in stock; in that case, the ERP system checks the availability of the raw materials by accessing the suppliers' catalogue. Based on raw material availability, the warehouse staff request raw materials from our Sydney supplier, Darwin supplier, or sometimes from both. Once the raw materials have been obtained, then the product is manufactured.
The sales department confirms the order, whether the product is retrieved directly from the warehouse or manufactured. Usually, the sales department emits an invoice and receives the payment, while the product is shipped by the warehouse & distribution department. The sales department is expected to archive all orders in the orders database.
