Introduction To Case Study

The case study is about a project called the Data Collection and Transfer Project (DCTP). This project was started to fix issues with assessing the condition of government buildings. The goal is to collect all the overdue assessment data and build applications to transfer this data into the BiiP system that manages the buildings.

1. Issues that will impact the success of the project delivery and propose changes that will resolve these issues

Delays in project deliverables within a property government department can have specific and far-reaching impacts, potentially leading to various project changes. Base on delay in the articulation of data and information from the Data collection and Data transfer project (DCTP), the schedule that was estimated to finish the project was delayed (Assignments Brief: Torrens University, 2023). Due to this delay, it has increased costs, especially if there are ongoing expenses associated with the project, such as maintenance, utilities, or interest on loans. Adjustments to the department's budget may be necessary to cover these additional costs. In order to resolve this issues, Effective communication within the internal stakeholders, including the project Steering Committee (PSC), Subject Matter Experts (SME) and the Data Collection and Data Transfer Project (DCTP) becomes crucial during delays (PMI,2017). The department may need to provide regular updates, seek input on project changes, and address concerns to maintain stakeholder support. Adjustments may be necessary to ensure that environmental regulations and sustainability targets are still met (Hamilton, 1997).

1. Impact of the Recommendation

Positive Change can have positive impact on the project, these changes can lead to more effective processes, reducing waste and streamlining workflows, this too can result in higher quality of deliverable or outcomes meeting or exceeding the project objectives. This can help identify and mitigate risk more effectively, enhance overall project resilience. Also, Effective communication between stakeholders can improve better understand and align their goals and objectives (Wiegers & Beatty, 2013)

1. Change Management Approach

Appropriate change methodology which is the ADKAR procedure will be use:

• Awareness; There will be Clear communicate and reasons behind the change and the challenges it aims to address.
• Desire; Show the benefits and advantages of the change, both at the individual and organizational levels.
• Knowledge: Ensure that stakeholders have access to information, tools, and support to facilitate the change.
• Ability; Offer ongoing coaching and support to help individuals build their competence
• Reinforcement; Adjust processes, policies, and systems to align with the change and reinforce new behaviors. Recognize and reward individuals and teams for successfully adopting the change

1. Stakeholders accepting the changes

Involve key stakeholders in the change process from the beginning; Engage them in decision-making and planning to give them a sense of ownership. Change Champions and Influencers, Identify and empower change champions or influencers within the organization. These individuals can act as advocates for the changes and help sway opinions. Change Management Team, establish a dedicated change management team or appoint a change manager responsible for overseeing and facilitating the change process (Lauer, 2010). To add up to the above point, it is important to elaborate the benefit of the change to the stakeholders thus making them aware of the core value of the need of these changes and how it could help reach the project objectives and goals.
