Each student will be required to complete SIX (6) Assessment Tasks, in order to successfully complete this project. It will require you to demonstrate evidence of your ability to:

  • Define the parameters of the project including:
  • project scope
  • project stakeholders, including own responsibilities
  • relationship of project to organisational objectives and other projects
  • reporting requirements
  • resource requirements

  • Use project management tools to develop and implement a project plan including:
  • deliverables
  • work breakdown
  • budget and allocation of resources
  • timelines
  • risk management
  • recordkeeping and reporting

  • Consult and communicate with relevant stakeholders to generate input and engagement in planning, implementing and reviewing the project

  • Provide support to team members to enable them to achieve deliverables and to transition them

as appropriate at the completion of the project

  • Finalise the project including documentation, sign-offs and reporting

  • Review and document the project outcomes

This Assessment Project can be based on an organisation of your choice; your current workplace or the scenario listed in Appendix One.

THE BRIEF:

You have been appointed as a Project Manager for your chosen organisation and have been tasked with undertaking a project in order to achieve the specific objectives as outlined by the Marketing Director (your Trainer). A budget of $15K has been allocated for this project.

It is expected that as a new Project Manager you will complete your assigned work project in line with the organisation's requirements and project management principles. The workflow you should adopt to satisfy these requirements will include:

  2. Developing a project plan
  3. Administering and monitoring the project
  4. Finalising the project
  5. Reviewing the project

Based on your selected project management topic you are now required to complete the following Assessment tasks:

ASSESSMENT TASK 1: DEFINING THE PROJECT

Your first task is to define the parameters of the project you have selected. This should include (but is not limited to) the following elements:

  • Project Scope
  • Project Stakeholders including Project Sponsor
  • Project Team Members
  • Roles and Responsibilities of each Project Team Member
  • Relationship of project to organisational objectives and other projects
  • Reporting requirements
  • Resource requirements
  • Any records of evidence (diary notes/minutes/emails) for all consultations and communications conducted with relevant stakeholders and project personnel

ASSESSMENT TASK 2: DEVELOP A PROJECT PLAN

Your second task is to develop a Project Plan that will need to be "signed off" for approval. The Project Plan should use the appropriate Project Management tools and incorporate (at a minimum):

  • Project Scope
  • Project Deliverables
  • Project Stakeholders including Project Sponsor
  • Project Team Members
  • Roles and Responsibilities of each Project Team Member
  • Relationship of project to organisational objectives and other projects
  • Work breakdown
  • Project Budget and how resources are to be allocated
  • Timelines
  • Reporting requirements
  • Resource requirements
  • Risk management strategies
  • Methods and forms of recordkeeping and reporting
  • Records of evidence (diary notes/minutes/emails) for all consultations and communications conducted with relevant stakeholders and project personnel to generate input and engagement in planning

ASSESSMENT TASK 3: ARRANGING PROJECT SIGN OFF

Your third task requires you to obtain approval to implement your Project Plan. To complete this component of the Assessment, you will need to develop a Project Plan summary in the form of a Microsoft PowerPoint Presentation (or equivalent).

You will need to deliver your presentation to your Trainer/Assessor who will complete the Observation Checklist which will constitute the official approval/sign-off for the implementation of your Project Plan.

Refer to the Observation Checklist at Assessment 2.3 to complete this Assessment task.

ASSESSMENT TASK 4: PROJECT ADMINISTRATION AND MONITORING

Once you have received sign off for your project, your next task is to proceed with implementation of the project. This will require administration and monitoring of multiple elements to ensure your project is satisfactorily delivered.

To deliver your project you will need to provide evidence that you have achieved your project deliverables by completing the appropriate administration, monitoring and implementation of your Project Plan. This should include:

  • Consulting and communicating with relevant stakeholders to generate input and engagement in planning, implementing and reviewing the project
  • Ensuring project team members are clear about their responsibilities and the project requirements
  • Providing support for project team members, especially with regards to their specific needs, to ensure that the quality of the expected outcomes of the project and documented time lines are met
  • Establishing and maintaining the required recordkeeping systems throughout the project
  • Implementing and monitoring the plans for managing project finances, resources and quality
  • Completing and forwarding project reports as required to stakeholders
  • Undertaking risk management as required to ensure project outcomes are met

The evidence you will need to supply to demonstrate completion of the project administration and monitoring components of the Assessment should be summarised in a written report which should be structured to reflect the specific details pertaining to your project.

In addition to and to support your submission you should aim to provide the required evidence of your Project Activity by including all forms of documentation that you (and your team) have generated during the project.

This documentation could cover (but is not limited to) any of the following tools:

  • Email: Internal and External parties
  • Written Correspondence - Letters/Diary Notes
  • Minutes of meetings conducted
  • Research Data and references
  • GANTT charts
  • Work Instructions
  • Risk Assessments
  • Project Performance Reports o Progress Reports o Status Reports
  • Financial Information including:
    • Purchase Orders o Invoices o Statements
    • Tax Receipts

ASSESSMENT TASK 5: FINALISING THE PROJECT

This task requires you to complete the process of finalising the project. You should prepare the appropriate documentation, sign offs and reporting in order to finalise this phase of the project management process. This could include preparation of the following elements:

  • Updating any financial recordkeeping and check the documentation for accuracy
  • Provide strategies for the transition of any staff involved in the project including either assignment to new roles or re-assignment to previous roles
  • Checking that all project elements on the GANTT Chart have been satisfactorily delivered
  • Completing a Project Finalisation Report

It is recommended that you refer to a Project Finalisation Reportdocument template to assist you with completing this component of the Assessment. Please refer to your Trainer to access this particular document template.

ASSESSMENT TASK 6: REVIEWING THE PROJECT

Your final task requires you to review and document the project outcomes by comparing them against your original Project Plan objectives and scope. You should involve all team members in the project review process and document the lessons learned from the project.

This final review will require you and your project team members to prepare a summary report to be delivered within the organisation. When developing your report, you should refer to each of the project documents previously created to support your findings as well as from the feedback obtained form each of your project stakeholders.
